Outside Processing Coordinator information

What is an outside processing coordinator?

Outside Processing Coordinators are professionals responsible for managing and overseeing the outsourcing of manufacturing processes or services to external vendors. They coordinate communication between internal departments and outside suppliers, ensure that quality and delivery standards are met, and handle logistics such as shipping and receiving outsourced materials. Their role is crucial in industries where certain manufacturing steps are contracted out to specialized facilities. By streamlining the outsourcing process, they help companies maintain production schedules, control costs, and ensure quality standards are upheld.

What are the key skills and qualifications needed to thrive as an outside processing coordinator?

To thrive as an Outside Processing Coordinator, you need strong organizational skills, attention to detail, and experience in supply chain or manufacturing operations, often backed by a relevant associate degree or equivalent work experience. Familiarity with ERP systems, inventory management software, and logistics tracking tools is typically required. Excellent communication, problem-solving abilities, and time management are crucial soft skills for effectively coordinating with vendors and internal teams. These competencies ensure efficient material flow, timely delivery, and successful collaboration with external processors, which are vital for maintaining production schedules and quality standards.

How does an outside processing coordinator typically collaborate with vendors and internal teams to ensure timely completion of outsourced work?

An Outside Processing Coordinator serves as the primary liaison between the company, external vendors, and internal departments such as production and quality assurance. They are responsible for tracking orders, communicating project requirements, and addressing any issues that arise during the outsourcing process. This role often involves scheduling regular updates, verifying that vendors meet quality and delivery standards, and working closely with purchasing and logistics teams to ensure timely and accurate delivery of materials. Effective communication and strong organizational skills are key to managing these partnerships and keeping projects on schedule.

What is the difference between Outside Processing Coordinator vs Quality Control Inspector?

AspectOutside Processing CoordinatorQuality Control Inspector

Work EnvironmentCoordinates with vendors and suppliers, often in manufacturing or aerospace settingsWorks on-site inspecting products, parts, or materials for defects
Employer & Industry UsageCommon in manufacturing, aerospace, and machining industriesWidely used in manufacturing, aerospace, automotive, and production industries

The Outside Processing Coordinator focuses on managing external processing vendors and ensuring timely, quality services, while the Quality Control Inspector primarily conducts on-site inspections to verify product quality. Both roles require industry-specific certifications and are integral to manufacturing quality assurance processes.

Job description

Job Title: Master Scheduler
Job status: Full-time employee, Exempt Salary
Department: Materials
Reports to: Supply Chain Manager
Master Scheduler
Summary / Objective
The Master Scheduler is responsible for creating and overseeing the production planning function within our operation. Analyzes capacity and inventory and draws conclusions on how to maximize customer satisfaction and minimize cost. The Scheduler will work with various departments to monitor the organizationโ€™s progress in meeting the production schedule. This position will proactively communicate and formulate alternative Production Plans when orders are at risk of not shipping on time. In our precision machining environment, the Master Scheduler builds finite-capacity schedules across CNC, Swiss-type, multi-spindle (Schรผtte), and Acme screw machines, grinding, and secondary/outside-processing operationsโ€”sequencing work to minimize setups and changeovers while level-loading bottleneck work centers such as grinding and secondary operations
Essential Duties and Responsibilities
  • Develop and execute production plans consistent with customer requirements, available capacity, sales forecasts and corporate objectives, sequencing jobs across machine groups (CNC, Swiss, multi-spindle, and Acme screw machines) to level-load bottlenecks and minimize setup and changeover time.
  • Drives continuous improvement in the overall planning process through lean and industry standard practices, including setup reduction (SMED), right-sizing run quantities to amortize changeovers, and grouping jobs by common tooling, cams, and collet families.
  • Analyze production schedules on a regular basis, collects data, acquires feedback and develops action plans to recover from deviations, which may involve raw material shortages, vendor mishaps, customer rushes and machine downtime, as well as bar-stock and material-certification (heat-lot) delays, outside-processing (heat treat, plating, passivation, coating) lead times, perishable-tooling shortages, and inspection or quality holds.
  • Monitors in-plant movement of materials to meet production cycle times, coordinating the flow of parts through primary machining, secondary operations, and outside vendors.
  • Prepare and present analysis on schedule status and overall performance to schedule, including on-time delivery (OTD), past-due backlog, and schedule attainment.
  • Communicate with supervisors, managers and cross functional staff to ensure internal and external customer needs are being met.
  • Demonstrates a proactive and urgent sense, to assist in customer order promising, customer delivery difficulties, and managing capacity constraints.
  • Ensure manufacturing data is kept current in our ERP System, including routings, work-center capacities, standard setup and run times, and real-time job status.
  • Understand outside processing (heat treatment, plating, passivation, coating, deburring) and build realistic vendor lead times into the master schedule.
  • Plan bar-stock and raw-material requirements (steel, brass, stainless, aluminum) and coordinate with Purchasing so material and required certifications are on hand ahead of scheduled setups.
  • Manage tooling, cam, collet, and fixture availability as active scheduling constraints, flagging long-lead or perishable tooling needs before they impact the floor.
  • Convert customer forecasts, blanket purchase orders, and releases into executable shop orders and firm up near-term schedules within frozen and slushy planning windows.
  • Determine economic quantities and lot sizes that balance setup cost, inventory carrying cost, and customer demand.
  • Performs other duties as assigned.
Knowledge, Skills amp; Abilities
  • Excellent communication skills, verbal and written.
  • Strong organizational skills and attention to detail.
  • Ability to work in a team-oriented environment that is fast paced and demanding, remains calm under pressure.
  • Performs duties with the highest level of integrity and ethics.
  • Well-organized with a systematic approach to responsibilities.
  • Ability to develop and maintain effective working relationships.
  • Advanced analytical and problem-solving skills.
  • Proven ability to assess situations and develop plans to quickly resolve.
  • Strong experience with Microsoft Office Suite.
  • Ability to read and interpret engineering drawings and blueprints, with a working familiarity of GD amp;T.
  • Working knowledge of machining processesโ€”turning, screw machining, multi-spindle, milling, grinding, and secondary operationsโ€”and how setup and cycle times drive scheduling decisions.
  • Understanding of routings, work centers, bills of material, and finite-capacity scheduling in a make-to-order / job-shop environment.
  • Familiarity with manufacturing quality standards such as ISO 9001, AS9100, and/or IATF 16949.
Education and Experience
  • BS/BA Degree with minimum 3-5 years relevant work experience.
  • In lieu of BS/BA, minimum 7 years relevant progressive work experience required.
  • ERP/MRP Experience Required; experience with shop-floor ERP systems (e.g., E2/Shop tech, Job BOSS, Global Shop Solutions, Epicor, or similar) preferred.
  • Two or more years of planning or scheduling experience in a precision machining, metalworking, or job-shop manufacturing environment strongly preferred.
  • Experience working with cross functional teams.
  • Strong Microsoft Office skills.
Work Environment / Physical Demands
  • Work is performed primarily in an office setting adjacent to an active machine shop floor.
  • When on the floor, may be exposed to elevated noise, coolant/oil mist, metal chips, and moving machinery; appropriate PPE (safety glasses, hearing protection) is required.
  • Frequent standing and walking on the shop floor; occasional lifting up to 25 lbs.
