Overview

Teleworld Solutions is seeking an Operations & Executive Coordinator. The Operations & Executive Coordinator serves as the first point of contact for the organization and a central hub supporting business operations, executive leadership, and people functions. This role is responsible for creating a professional and welcoming front-office experience while driving efficiency across procurement, recruiting coordination, HR support, and executive administrative needs. This is a high-visibility, high-impact role requiring strong organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities

Work Schedule

This position is required to be onsite Monday through Friday from 9:00 AM - 6:00 PM.

Front Office & Office Operations

Serve as the face of the organization, ensuring a professional and welcoming experience for all visitors, clients, and employees

Manage front desk operations including calls, visitors, mail, and office communication

Maintain office organization, cleanliness, and supply inventory

Coordinate office logistics, vendor relationships, and facility-related needs

Executive Support (CEO & Leadership Team)

Provide direct administrative support to the CEO, including calendar management, scheduling, and meeting coordination

Prepare meeting materials, presentations, and follow-ups as needed

Support travel arrangements, expense tracking, and executive logistics

Act as a liaison between leadership and internal teams

Procurement & Vendor Coordination

Assist with procurement processes, including purchase requests, vendor coordination, and tracking orders

Maintain vendor relationships and ensure timely delivery of goods and services

Monitor inventory levels and proactively manage office and operational supply needs

Support contract tracking and renewal reminders as needed

Risk Management & Fleet Coordination Support

Partner closely with Risk Management lead to support fleet management operations, including vehicle tracking, documentation, and compliance

Assist in maintaining accurate records related to company vehicles, driver assignments, and insurance requirements

Coordinate scheduling for vehicle maintenance, inspections, and repairs to ensure operational readiness

Support incident reporting processes by gathering documentation and coordinating follow-ups as needed

Help monitor compliance with company policies related to fleet usage, safety, and risk mitigation

Act as an administrative liaison between internal teams, vendors, and the Risk Management function

 

Qualifications

Qualifications:

4-6 years of experience in administrative, office operations, HR, or executive support roles

Strong organizational and multitasking skills with exceptional attention to detail

Professional demeanor with excellent communication and interpersonal skills

Ability to handle confidential information with discretion and integrity

Proficiency in Microsoft Office
