POSITION OVERVIEW

The Operations Coordinator serves as a central point of coordination across teams, helping ensure communication stays clear, priorities remain aligned, and deliverables move forward efficiently across fast-moving accounts and initiatives.

This role works closely with the Senior Strategist to capture and organize ideas, decisions, conversations, and action items, ensuring projects maintain momentum and nothing falls through the cracks.

At its core, this is a highly cross-functional role spanning operations, communication, coordination, client engagement, and execution support. The ideal candidate thrives in fast-paced environments, brings strong organizational skills and follow-through, and enjoys creating structure within evolving projects and conversations.

KEY RESPONSIBILITIES

Operations & Coordination

  • Support day-to-day operations across projects, teams, and client accounts

  • Build and maintain systems that track communication, priorities, decisions, timelines, and deliverables

  • Create structure and organization across evolving workflows and workstreams

  • Identify blockers or gaps and help drive solutions proactively

  • Maintain organization across project management tools, documentation, and shared systems such as Asana and Google Drive

Client, Vendor & Team Communication

  • Attend and support client and vendor calls alongside the Senior Strategist

  • Coordinate communication across internal teams and external partners

  • Lead ongoing client reporting, including monthly updates and workstream tracking

  • Ensure conversations, decisions, action items, and next steps are clearly documented and communicated

  • Follow up on deliverables and outstanding items to maintain accountability and momentum

  • Step into client-facing communication and coordination when needed

Project & Execution Support

  • Support coordination across creative, paid media, PR, social, outbound, research, and strategy workstreams

  • Help ensure alignment and continuity across projects and teams

  • Assist with meeting organization, workflow management, presentations, reporting, and internal materials

  • Support leadership, strategists, and project managers with execution and follow-through

  • Coordinate assets, timelines, and deliverables across campaigns and initiatives

Administrative & Strategic Support

  • Support scheduling and coordination for client and vendor meetings

  • Assist leadership with organizational and operational needs

  • Capture action items, decisions, and open loops from meetings and conversations

  • Help think through solutions, ask strategic questions, and support decision-making

  • Step into gaps across the team to ensure work continues moving forward efficiently

COMPENSATION & ENGAGEMENT

  • Full-time, 40 hours per week

  • Remote position

  • Compensation: Based on experience

  • Includes paid holidays and paid time off

  • This is an independent contractor engagement. Contractors are responsible for managing their own schedule, equipment, insurance coverage, and tax obligations.
