The Order Room Operations Associate II is responsible for aiding in driving departmental results, which are predominately order-related for the ongoing support of Stifel's branch offices as well as other departments such as various Trading Desks and outside money managers and requires more experience and expertise to perform under a higher stress environment. This position requires a sound understanding of the order life cycle from order entry to handling all of its needs, including corrections of various types, and knowledge of general operational and industry questions. Effectively researching trades on the different trading systems to resolve problems, process corrections, and make decisions under certain market constraints is also required. Collaboration among team members is vital for success.


  • Accurately provides phone support with high-level customer service while adhering to departmental procedures and guidelines.
  • Identifies potential problems or issues that fall outside standard procedures and provides leadership with ways to improve operational efficiency.
  • Develop effective communication skills within the department, various Trading Desks, Stifel Branch Personnel, and outside money managers.
  • Provides timely updates on the progression of job responsibilities to leadership.
  • Demonstrates the ability to work collaboratively within a team and with other areas in the firm.
  • Manages higher level and sensitive information with the ability to record caller interactions.
  • Provides the highest quality of customer service through written and verbal communication.
  • Maintains a positive, empathetic, and professional attitude toward callers and promotes team collaboration with an emphasis on accuracy and speed to ensure timely market executions at all times.
  • Daily reconciliation of various trading activities, such as balancing UITs, equities, and options to identify and resolve exceptions before the market opens.
  • Accurately processes option assignments and exercises, which can be considered high-risk.
  • Reconciles GTC orders and trading positions between BETA and the firm's OMS system in the inventories.
  • Processes trade corrections by approving cancels and rebills, assisting with trading errors, and working with trading desks or exchanges to bust executions upon request.
  • Work the Order Wire Printers to support order activity for the firm and ensure all rejected messages are processed and resolved on time to avoid monetary losses.

  • Strong organizational skills with the ability to follow up on open tasks.
  • Professional phone contact, strong communication, and active listening skills.
  • Ability to multitask, prioritize, and manage time effectively.
  • Ability to utilize limited judgment to assist with more complex issues with the ability to disseminate relevant information to leadership.
  • Sound understanding of Stifel's applications, industry rules/regulations, and Stifel policies that pertain to the department and Stifel's branches.
  • Ability to assist with testing trading system applications and upgrades as they become available.
  • Intermediate knowledge of financial services applications, systems, terminology, and procedures and ability to adapt to these changes.
  • Ability to assist in training new and existing associates on departmental and branch processes.
  • Experience with some accountability for medium-term tasks and many recurring basic initiatives.

  • Minimum Required: High School Diploma with equivalent work experience preferred or Bachelor's Degree.
  • Minimum Required: 2+years of professional business-related experience.

  • Microsoft Office Suite, especially Word, Outlook, and Excel.
  • Knowledge of Thomson One, Beta, Fidessa, APL and Vestmark is beneficial.  #LI-AS1
