Operations Assistant - Seasonal


Smart Data Solutions, a leading provider of data management and workflow solutions for health plans and TPAs, is hiring Seasonal Operations Assistants to support our fast‑paced Operations team. In this role, you’ll play an important part in keeping critical healthcare processes moving by accurately handling and processing high‑volume documents.

What you’ll be doing?

Primary Responsibilities

Mail Services

  • Assist in retrieving mail from the post office in the company issued vehicle.
  • Sort incoming mail by P.O. Box to be put away to their assigned P.O. Box location on shelves.
  • Delivering FedEx and UPS mail to teams leads for distribution.
  • Perform destruction of documents by retention date as assigned from Team Lead in compliance with customer and HIPAA requirements.
  • Place scanned document boxes in secured, fenced in areas.
  • Must have ability to lift 45 pounds.
  • Perform other duties as assigned.

Secondary Responsibilities

Document Processing and Scanner Operation

  • Prepare and process mail based on customer requirements in a timely manner while maintaining a high level of quality and accuracy.
  • Properly sort batches of mail based on customer requirements.
  • Accurately complete batched mail cover sheets.
  • Scanning, archiving, and quality control of mail documents in a timely manner while maintaining a high level of quality.
  • Accurately input cover sheet information into the scanning machine.
  • Feeding documents through a scanner in a timely manner.
  • Ensuring batches are scanned and placed into appropriate storage box.
  • Ensuring compliance with Hi-Trust certification requirements and Smart Data Solutions Acceptable Use Policy.
