Position Overview:
This position is internally classified as an Administrative Support Specialist. It provides operational support to the Soils Inspections team by serving as the primary point of contact for incoming client inquiries and providing administrative support for the day-to-
day operations of the inspections field staff. This role plays a vital part in maintaining communication flow, project organization, and operational efficiency. The ideal candidate is customer-focused, detail-oriented, proactive, and comfortable managing multiple priorities in a fast-paced environment.
Primary Responsibilities:
  • Answer the main phone line and assist clients with questions, scheduling needs, and general inquiries
  • Provide support to the Soils and Inspections Administrator and the inspections field staff
  • Prepare monthly performance tracking reports
  • Complete accurate and timely data entry of new inspection client information
  • Create project invoices and assist with collection efforts for past-due balances
  • Serve as the lead backup for inspection scheduling activities
  • Serve as the lead backup for soils contract preparation, processing, and scheduling
  • Support other administrative staff with general office needs and cross-functional initiatives as needed
Required Qualifications:
  • 2+ years of administrative support experience
  • Strong customer service experience, including communicating professionally with clients by phone and email
  • Proven ability to maintain accuracy while managing multiple tasks and deadlines
  • Experience creating efficiencies, organizing workflows, and ensuring timely completion of deliverables
  • Tech savviness, with experience in the Microsoft Office suite of products, including Excel, Outlook, Word, and Lists.
  • Experience working with (or willingness and confidence in learning) QuickBooks.
