We are seeking a highly organized and detail-oriented on-call Travel Scheduling Agent to join our team and provide coverage on evenings and weekends. As a Travel Scheduling Agent, you will be responsible for managing all aspects of travel arrangements for our clients, including flights, accommodations, ground transportation, and other travel-related services. The ideal candidate will have experience using Concur or other travel management software, as well as exceptional communication and customer service skills.


Responsibilities

  • Manage and book all aspects of travel arrangements for clients, including flights, accommodations, ground transportation, and other travel-related services.
  • Utilize company approved travel platforms to ensure all travel arrangements meet company policies and procedures.
  • Monitor flight itineraries and make necessary changes to ensure timely and efficient travel.
  • Provide exceptional customer service to clients, addressing any questions or concerns they may have regarding their travel arrangements.
  • Maintain accurate records of all travel bookings, expenses, and reimbursements.
  • Communicate with vendors to ensure clients' needs are met during travel.


Requirements:
  • Minimum of 1 years proficiency in Microsoft Office Suite
  • Preferred experience managing travel arrangements in a corporate setting
  • Exceptional attention to detail and organizational skills
  • Excellent communication and customer service skills
  • Ability to work independently and prioritize tasks in a fast-paced environment
  • Ability to work night and weekends as needed

On-Call Hours

  • Monday–Thursday: 8:00p.m. – 10:00 p.m. EST
  • Friday: 5:00 p.m. – 11:00 p.m. EST
  • Saturday: 8:00 a.m. – 6:00 p.m. EST
  • Sunday: 8:00 a.m. – 2:00 p.m. EST


Timekeeping

  • Please clock in and out in Paylocity using the correct rate code.
  • If you miss a clock-in/out, follow the steps outlined n Paylocity training to make the corrections which will be reviewed and approved by your manager.

IT Access

  • IT will be installing remote software on Travel Coordinator laptops to verify work performed.
