Title: District Office Receptionist

Primary Function
The District Receptionist is responsible for overseeing all front desk reception responsibilities required to support day-to-day operations while also providing excellent customer service to all internal and external stakeholders.
Minimum Qualifications
  • High school diploma or equivalent, with additional training and experience in oral and written interpretation and translation (associate degree preferred)
  • Fluency in both English and Spanish, with proven ability to read, write, translate, and interpret both languages, verified through an internal assessment
  • Proficient in Microsoft Word, Outlook, Excel, Google Suite, and general computer navigation, with strong organizational and time management skills
  • Excellent interpersonal skills, demonstrating tact, patience, and courtesy
  • Ability to establish and maintain cooperative and effective working relationships with colleagues and external stakeholders
  • Strong multitasking skills, with the ability to manage various projects simultaneously
  • Capable of working independently, under tight deadlines, and in a fast-paced environment
  • Highly detail-oriented, with the ability to perform routine duties such as filing, duplicating, and maintaining records with accuracy
  • Ability to understand and follow oral and written directions

Receptionist Duties and Responsibilities
Support the necessary clerical responsibilities required to assist in the management of the District office's front reception desk and related tasks including but not limited to:
  • Reception of visitors at the District Office Administrative Center
  • Take incoming telephone messages, route, and follow through to the appropriate person/department
  • Distribute mail and materials as needed
  • Assist in the coordination and execution of District Office events, meetings, and set-up
  • Provide administrative support to the Student Services Department through scheduling coordination, clerical functions, records management, correspondence, and other related duties as assigned by the Director of Student Services.
  • Support families in the registration process as needed when the registrar is attending to another family
  • Assist in scheduling registration appointments for newly registering families
  • Maintain office security by following safety procedures
  • Manage the posting of all postage for mail from all schools in the district
  • Assist District staff in other clerical duties as may be assigned
    KNOWLEDGE AND ABILITIES:
  • Correct oral and written usage of English and Spanish.
  • Interpersonal skills using tact, patience, and courtesy.
  • Strong computer skills including Google Suite, Microsoft Office Suite, and general computer navigation
  • Establish and maintain cooperative and effective working relationships with others.
