POSITION SUMMARY: Under the direction of the Principal, the Lower School Receptionist provides front-office support to students, families, staff, and community members by responding to general school inquiries, communicating school policies and procedures, and directing questions to the appropriate staff members as needed. As the primary point of contact for the Lower School, the Receptionist plays a key role in fostering a welcoming, professional, and community-centered environment.
The ideal candidate is passionate about serving families in the City of Buffalo and thrives in a fast-paced, mission-driven school setting. This individual demonstrates excellent interpersonal, written, and verbal communication skills, along with strong organizational and administrative abilities. The successful candidate will exercise sound judgment, effectively manage multiple priorities, and handle sensitive and confidential matters with professionalism and discretion.
In addition to receptionist responsibilities, this role also serves as the Substitute Coordinator, managing the school's daily substitute staffing needs in collaboration with school administration. Responsibilities include coordinating substitute coverage, onboarding substitute staff, maintaining positive relationships with daily and building substitutes, and supporting the smooth and efficient operation of the school each day.
ROLES AND RESPONSIBILITIES:
  • Ensure accurate daily student attendance is recorded and reported for grades K-4.
  • Manage the tardy process and communicate with families regarding student absences and tardiness.
  • Maintain and monitor employee time and attendance records.
  • Run attendance reports and follow up on student excuse notes and documentation.
  • Serve as the primary point of contact for incoming calls, visitors, students, and families.
  • Support a safe and welcoming school environment by enforcing building entry and visitor protocols.
  • Make daily announcements for staff and students.
  • Provide general administrative and clerical support to the Lower School administration team.
  • Maintain student records and update files with required documentation.
  • Receive, sort, and distribute mail and deliveries.
  • Maintain office organization, supplies, and shared staff spaces, including the faculty room and main office.
  • Provide basic printer and copier support for faculty and office staff.
  • Coordinate and support substitute teacher coverage and onboarding in collaboration with administration.
  • Communicate professionally and effectively with families, staff, students, and community partners.
  • Support school events, family engagement activities, and after-school functions as needed.
  • Maintain organized electronic and physical filing systems.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Prioritize multiple responsibilities and respond proactively in a fast-paced school environment.

EDUCATION AND EXPERIENCE:
  • High School degree required; additional qualification as an Receptionist, Administrative Assistant or School Secretary a plus.
  • Associate's or Bachelor's degree in Business Administration or related field preferred.
  • One to three years of experience in an office setting.

PHYSICAL REQUIREMENTS:
Work is performed primarily in an office environment, exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Repetitive motion including walking, bending, standing. Substantial movements (motions) of the wrists, hands, and/or fingers to complete typing, filing, and data entry. Required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading. Position requires talking, walking, driving, speaking and comprehension of complex matters.
