As an Office Support team member, you will serve as a key point of contact for customers, employees, vendors, and branch leadership. This role is ideal for someone who enjoys administrative work, customer service, problem-solving, and supporting the day-to-day operations of a growing company.

Position Summary
The Office Support Professional provides administrative and operational support to the branch by assisting with customer communication, scheduling, data entry, recordkeeping, invoicing, purchasing support, and general office functions.
This position requires strong organizational skills, excellent communication abilities, and the capability to manage multiple priorities while maintaining accuracy and professionalism.
Essential Duties & Responsibilities
Administrative Support
  • Answer incoming phone calls and direct inquiries appropriately
  • Greet customers, vendors, and visitors professionally
  • Perform data entry and maintain accurate records
  • Assist with filing, scanning, and document management
  • Maintain office supplies and place orders as needed
  • Prepare reports, spreadsheets, and correspondence
  • Support branch leadership with administrative projects

Customer Service
  • Provide excellent customer service both in person and over the phone
  • Assist customers with general questions and service-related inquiries
  • Communicate professionally and courteously with customers, vendors, and employees
  • Help resolve routine customer concerns and direct issues to appropriate personnel

Scheduling & Coordination
  • Assist with scheduling appointments and coordinating service requests
  • Support communication between office staff, field personnel, and management
  • Monitor and update schedules as needed
  • Help ensure timely communication regarding customer appointments and job updates

Financial & Operational Support
  • Assist with invoice processing and documentation
  • Support purchasing and material order tracking
  • Maintain accurate records and reports
  • Assist with job file organization and documentation
  • Help ensure branch records remain organized and compliant

General Office Functions
  • Support daily branch operations
  • Maintain confidentiality of company and employee information
  • Assist with special projects and branch initiatives
  • Perform miscellaneous administrative duties as assigned

Qualifications
  • Previous administrative, office support, receptionist, or customer service experience preferred
  • Strong computer skills including Microsoft Office (Word, Excel, Outlook)
  • Excellent verbal and written communication skills
  • Strong organizational and time management abilities
  • Ability to multitask and prioritize effectively
  • Professional appearance and demeanor
