Job description

Administrative Assistant

Specialty Finishes, Inc., a commercial painting contractor located in Atlanta, Georgia, is seeking a full-time Administrative Assistant to support a variety of administrative and accounting functions in our fast-paced office environment.

Key Responsibilities

  • Answer phones and greet visitors in a professional and welcoming manner
  • Distribute mail, packages, and project plans to appropriate team members
  • Prepare, enter, and distribute purchase orders to Accounts Payable, Project Managers, and the Receiving Manager
  • Enter accounts payable data and review/reconcile month-end statements
  • Set up new projects in accounting and inventory systems
  • Assist Project Managers with material orders and prepare customer samples
  • Process inventory transfers to job cost
  • Process and distribute weekly job cost reports to Project Managers and management

Qualifications

We are seeking someone who is organized, detail-oriented, and able to manage multiple priorities effectively. Strong time management and communication skills are essential, as this role works closely with clients, Project Managers, and company leadership on a daily basis.

Qualified candidates should have:

  • Front office and data entry experience
  • Proficiency in Microsoft Office, particularly Excel
  • Strong organizational and multitasking abilities
  • Construction industry experience is a plus and may offer opportunities for future growth within the company.
