Description

We are looking for a talented individual to start this Summer as our new Office Administration Intern. The Office Administration Intern is an exciting opportunity for students who want to gain hands-on experience in business, the insurance industry, or professional office operations. In this role, you'll work closely with teams across UNICO, getting exposure to how a busy, fast-moving organization runs. You'll help keep our office organized and running smoothly by directing calls, organizing and distributing important insurance documents, and supporting team members across all divisions. You'll also be one of the first friendly faces that customers interact with, helping answer questions and sharing information about who we are and what we do. If you enjoy working with people, staying organized, and learning how a company operates from the inside out, this role will give you a strong foundation of knowledge and experience.ย ย 


Responsibilitiesย 

  • Answer telephones and connect callers to the appropriate person.ย 
  • Support use of conference room technology, event calendars, copiers and phone systems.ย 
  • Staff and backup the front desk to welcome and direct visitors and deliveries.ย 
  • Organize and assign incoming reports, documents, mail, faxes and emails to the appropriate person.ย 
  • Handle clerical tasks such as photocopying, faxing, filing, mailing and scanning.ย 
  • Label, organize and assign insurance documents.ย 
  • Combine insurance documents and send them to the insured or broker.ย 
  • Prepare auto insurance card packets, insurance certificates and other documents.ย 
  • Acquire documents from insurance carrier websites.ย 
  • Respond in an appropriate, timely manner to all internal and external requests for information.ย 
  • Support the leadership teams with various tasks, as needed. Examples may include organizing supplies, assembling presentation materials, and general administrative tasks.ย 
  • Clerical work such as binding proposals, organization of inventory, filing work, cleaning meeting spacesย ย 
  • Maintain the shared spaces as clean and organized spaces.ย 
  • Performs other related duties as assigned.

Requirements

Professional Requirementsย 

  • Education: Preferred candidates are current sophomores and juniors pursuing a relevant degree.ย 
  • Experience: Clerical and computer knowledge, experience in customer service ย 
  • Licensure: Not requiredย 

Skills | Abilitiesย 

  • Demonstrate oral and written communication skills with the ability to effectively interact with all levels within the organization.ย 
  • Proven track record of successful customer service in a fast-paced environment, emphasizing attention to detail.ย 
  • Ability to follow up on tasks from start to finish.ย 
  • Demonstrate computer proficiency in Microsoft Office.ย 

Physical Demandsย 

  • This role's physical exertion is sedentary and takes place in an office environment. ย 
  • Exerting up to 20 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.ย ย 
  • Substantial movements and repetitive motion of the wrists, hands, and/or fingers.ย ย 
  • Individual required to have close visual acuity to perform activities such as preparing and analyzing data and figures; transcribing, viewing a computer, and extensive reading.ย
