Summary:
The Office Assistant will support the Residential Experience unit within Residence Life & Student Housing by facilitating communication with residents via phone and email. This individual will be responsible for greeting and directing visitors, answering general inquiries, and providing exceptional customer service. Additional duties include performing routine clerical tasks, such as data entry and processing work, as assigned. The ideal candidate will be organized, detail-oriented, and capable of managing multiple tasks in a fast-paced environment while maintaining professionalism and confidentiality.
Duties and Responsibilities:
A) Telephone and Communication Support
- Answer incoming calls and respond to inquiries from residents, staff, and visitors.
- Take accurate messages and ensure timely delivery to the appropriate personnel.
- Communicate clearly and professionally via phone and email, providing information or redirecting inquiries as needed.
B) Clerical and Administrative Tasks
- Operate a personal computer to draft correspondence, enter data, and generate reports.
- Create and print letters, labels, and other documents as required.
- Copy, scan, and duplicate materials for distribution or recordkeeping.
C) File and Record Management
- Establish and maintain organized filing systems for physical and electronic records.
- Update and process files, records, and documents in accordance with department guidelines.
D) Office Organization and Visitor Support
- Greet and direct visitors to the appropriate staff or department.
- Aid and answer questions from residents, parents, and other stakeholders.
- Ensure the reception area is tidy, welcoming, and equipped with necessary materials.
E) Errands and Office Support
- Run routine errands, such as delivering documents or picking up supplies, as required.
- Assist with inventory management and ordering office supplies.
F) Miscellaneous Tasks
- Perform miscellaneous job-related duties as assigned to support the Residential Experience unit.
- Collaborate with team members to ensure efficient operations and a positive resident experience.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
- Ability to understand and follow specific instructions and procedures.
- Word processing and/or data entry skills.
- Microsoft Office Suite skills.
- Microsoft Teams knowledge.
- Ability to prepare and print routine correspondence, labels, and/or other basic written material.
- Skill in the use of operating basic office equipment.
