Job Description
We are seeking a highly organized, detail-oriented Legal Assistant to support the Corporate Legal Team. The ideal candidate will bring a blend of time management, technology acumen and interpersonal skills to help drive the effectiveness of the Legal Department.
Key Responsibilities:
Documentation Development, Support and Management
  • Prepare, format and proofread presentations and reports
  • Coordinate and monitor cross-functional document collection for board meetings
  • Organize files and manage the Legal Team's SharePoint document repository
  • Draft routine correspondence
  • Process incoming mail and route appropriately
  • Enter and update contract and matter information in the department's contract systems and matter management systems; generate reports as requested
  • Route documents for signature and track execution status
  • Coordinate and support onboarding of new legal team members

Department Technology Administration
  • Serve as the primary point of contact for adding and removing access to Legal Department technology
  • Troubleshoot user issues
  • Support implementation of and enhancements to Legal Department technology

Meeting, Calendar and Travel Support
  • Coordinate internal and external meetings involving Legal team members
  • Manage calendars and book travel for Legal leadership
  • Coordinate logistics, prepare agendas, assemble decks, presentation and handouts, and order supplies for legal team meetings
  • Process expense reports

Subpoena & Legal Request Coordination
  • Under the supervision of an attorney, intake subpoenas and coordinate responses with business stakeholders
  • Monitor and triage Legal Team group mailbox and matter intake systems (e.g., ServiceNow)
  • Update matter management, tracking systems

Intranet Support
  • Manage Legal Department content that appears on the Company intranet including the Legal Hub and the Corporate Policy Library, ensuring that the content stays up-to-date, accessible and relevant

General Department Operations Support
  • Additional duties as assigned to support the efficient operation of the Legal Department

Qualifications
  • Associates' Degree or equivalent in relevant area; Bachelor's preferred; Experience in lieu of degree will be considered
  • 3+ years administrative support experience, preferably in a legal department or law firm
  • Experience supporting legal or compliance teams strongly preferred
  • Experience with legal technology platforms including e-billing and contract lifecycle management systems preferred.
  • Familiar with Power BI, DocuSign or similar e-signature platform, e-billing or matter management systems, contract lifecycle systems strongly preferred.
  • Notary or willingness to become a notaryStrong organizational, communication, and problem-solving skills.
  • Proficient with Microsoft Office Programs (Word, PowerPoint, Excel, Teams, SharePoint) and Adobe Pro
