Office Manager and Executive Admin Assistant
Overview: This position acts as a support function to various departments within the company, and identifies and addresses the needs of the business while performing administrative tasks to ensure the company's workflow runs smoothly.
Key responsibilities:
- Manage daily office operations to ensure seamless functioning while providing support to employees and leadership.
- Coordinate with other support functions including IT, EHS, HR, Security to ensure that operations are organized and efficient.
- Suggest more efficient ways to run the office and troubleshoot malfunctions. Responsible for developing standards and promoting activities that enhance operational procedures.
- Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved, and administrative functions are properly assigned and monitored.
- Manage executives' schedules, organize travel by planning accommodations and reservations, and appointments. Coordinate and organize off-site conferences. Lead the planning and execution of onsite corporate company events.
- Create regular reports, agendas, itineraries, documents, slide decks, and update internal databases. Facilitate internal communications (e.g. distribute information and schedule presentations).
- Support orientation and onboarding of new employees, and provide general support to visitors. Prepare offices and workstations for new hires.
- Partner with HR to maintain office procedures and policies. Ensure security, integrity, and confidentiality of data.
- Manage relationships with internal teams as well as external property management vendors, service providers, and landlord, to perform, review and analyze special projects and keep the management properly informed.
- Inventory, order, maintain organize and distribute office supplies and ensure that all items are invoiced and paid on time.

Experience and Education:
- High School diploma or equivalent required. Bachelor's/University degree is a plus.
