Marketing Proposal Specialist

Overview

A civil engineering firm in Arizona, is seeking a Proposal Specialist to lead and manage the firm's proposal process from start to finish. This is a highly visible role that plays a critical part in positioning the firm for success through strategic, high-quality, client-focused submittals.

The ideal candidate is an organized, detail-oriented professional with strong communication skills who thrives in a deadline-driven environment, serving as the central coordinator between internal technical teams, leadership, and external clients.

The Role

The Marketing Proposal Specialist owns the full proposal lifecycle — from kickoff through submission — for RFQs, RFPs, and SOQs. Success in this role looks like consistent, accurate, professional submittals delivered on time, and proposal materials (resumes, project sheets, boilerplate) that are kept current and ready to deploy.

This role sits at the intersection of technical staff, firm leadership, and external clients, coordinating deadlines and deliverables across all three, and also supports business development by tracking opportunities and assisting with pursuits.

Responsibilities

· Own and manage the full proposal lifecycle from kickoff through submission for RFQs, RFPs, and SOQs

· Serve as the central coordinator between technical staff, leadership, and deadlines

· Develop, edit, and assemble compelling proposal content, including project descriptions, resumes, and narratives

· Ensure compliance with all client requirements, including formatting, content, and submission guidelines

· Manage proposal schedules, deadlines, and deliverables to ensure on-time, high-quality submissions

· Coordinate and prepare client-facing materials and presentations, including interview decks and logistics

· Maintain and update proposal databases (resumes, project sheets, boilerplate content) and manage client/vendor registrations and prequalification requirements

· Support business development efforts by tracking opportunities and identifying ways to improve proposal processes, quality, and efficiency

Requirements

· 5+ years of experience managing proposals in the A/E/C industry

· Proven ability to manage multiple deadlines and priorities simultaneously

· Strong writing, editing, and organizational skills with exceptional attention to detail

· Ability to work independently while collaborating across teams

· Advanced proficiency in Adobe InDesign and Microsoft Office (Word, PowerPoint, Outlook required)

· Bachelor's degree in Marketing, Communications, Journalism, or a related field preferred; equivalent industry experience may substitute

Working knowledge of Adobe Photoshop and Illustrator
