Job description

About the Role

In the sectors Armada serves, critical decisions are often made face to face: on the convention floor, at customer sites, during executive briefings, and in the field. Events are a key way prospects experience our technology, understand our technical differentiation, and engage directly with our team.

This role will help scale Armada's event motion as the company grows globally. As the second hire on the Events team, you will help plan and execute trade shows, roadshows, customer events, partner programs, executive briefings, and field activations that generate pipeline, strengthen customer relationships, and show Armada's technology in action. You will bring operational rigor, strong judgment, and a bias for ownership to one of the most visible functions in the company.

Please note that this role is a temp-to-hire position. Strong performers will be considered for full-time placement at the end of the contract period. This role is eligible for overtime.

Location. This role is remote-based on the continental US.

What You'll Do

  • Execute the event calendar end to end. Own logistics for trade shows, executive dinners, roadshows, customer forums, partner activations, and field programs. This includes venue coordination, vendor management, shipping, staffing, run of show, timelines, budgets, and post-event follow-up.
  • Help plan and scale Armada's event motion. Partner with the Head of Events to build a repeatable, high-impact event function across priority markets, industries, and customer segments. Help evaluate which formats are working, where we should invest, and how to scale programs without losing quality.
  • Own trade show operations. Manage exhibitor portals, booth assignments, sponsorship deliverables, labor orders, shipping deadlines, compliance requirements, show services, and on-site logistics. You know how these systems work and do not let details fall through the cracks.
  • Activate regional field programs. Coordinate roadshows, lunch and learns, product demos, Galleon tours, customer briefings, and partner co-marketing events. You will manage timelines, vendors, internal stakeholders, and logistics from kickoff through debrief.
  • Support executive and speaker programs. Coordinate speaker submissions, session logistics, presenter needs, and on-site support. Partner with Communications, Content, and the Office of the CEO to ensure executives and technical SMEs are prepared, briefed, and supported.
  • Drive on-site lead capture and follow-up. Set up badge scans, kiosk flows, QR codes, meeting tracking, and other lead capture processes. Brief reps before events and deliver clean lead lists to Revenue Operations, Sales, and Demand Gen within 24 hours of each event.
  • Partner cross-functionally. Work closely with Content & Communications, Design, Demand Gen, Sales, Partnerships, Product Marketing, and technical teams to keep event programs on track. You will be the connective tissue across teams, making sure assets, collateral, demos, staffing, and follow-up are ready.
  • Track and report event performance. Maintain event scorecards covering meetings set, leads captured, pipeline generated, pipeline influenced, cost per lead, and qualitative feedback. Flag what is working, what is not, and where we should adjust.
  • Keep Armada event-ready. Own inventory of booth graphics, demo gear, printed materials, signage, swag, and event supplies. Coordinate refurbishments, reorders, shipping, storage, and vendor handoffs proactively.
  • Build repeatable systems. Create and improve the playbooks, checklists, trackers, vendor processes, and post-event workflows that help Armada scale events with consistency and speed.
  • Travel. Represent Armada on site approximately 30-50% of the time, including occasional evenings and weekends.

Required Qualifications

  • 8+ years of experience in B2B field marketing, event marketing, or event management, ideally for a technology startup.
  • Hands-on experience managing trade show exhibitor portals such as Freeman, Cvent, Experient, or similar platforms.
  • Proven track record executing trade show booths, roadshows, executive events, customer programs, or field activations end to end without relying on a large team.
  • Strong vendor management and budgeting skills, with a practical, ownership-driven approach to cost control.
  • Exceptional project management skills. Deadlines, dependencies, and details do not slip on your watch.
  • Ability to contribute to event planning, prioritization, and post-event analysis, not just logistics.
  • Comfort working with executives, sales teams, partners, and technical SMEs.
  • Polished on-site presence and ability to stay calm, organized, and solutions-oriented during live events.
  • Familiarity with lead capture tools, badge scanners, QR workflows, CRM handoff processes, and post-event follow-up.
  • Willingness to travel frequently and thrive in the organized chaos of live events.

Preferred Qualifications

  • Experience in industrial technology, edge computing, AI infrastructure, space, defense, national security, energy, telecom, or enterprise SaaS.
  • Experience supporting technical demos, product showcases, mobile tours, or hardware-forward event activations.
  • Familiarity with virtual event platforms, webinar operations, or hybrid event production.
  • Ability to set up lightweight AV, demo environments, or on-site technical workflows.
  • Experience creating event playbooks, reporting dashboards, or scalable field marketing processes.
