Job Description

The Opportunity: This position provides administrative support to two executives at Mattel Television Studios. The Unscripted Creative Coordinator will be responsible for fielding and rolling phone calls, calendaring deadlines, maintaining daily scheduling, setting internal and external meetings, preparing and submitting expense reports, and corresponding with business and industry partners.

What Your Impact Will Be: 

  • Manage all administrative tasks for two executives who primarily cover Unscripted Television for Mattel TV Studios Live Action department including heavy phone calls, calendars, expenses, and travel arrangements.
  • Able to understand and carry out oral and written instructions, and effectively prioritize and handle multiple tasks and competing demands with a solid working knowledge of correct grammar, punctuation, and spelling
  • Exceptional interpersonal and communication skills to effectively interface with staff, executives, departments and business partners in a collaborative, patient and tactful manner
  • Adeptly handle multiple schedules, including external travel arrangements and meetings. 
  • Accurately set and track appointments, pitches, and screenings for a team of executives
  • Accurately prepare and handle financial data, including business and personal expense reimbursements, accounting and reconciliation.
  • Act as an administrative liaison to other Mattel Studios departments, including BA/Legal, Marketing and Corporate Functions.
  • Create internal processes and systems for tracking incoming submissions, pitches, materials, and all other project related documents.
  • Collaborate with creative executives to help organize and collate notes. 
  • Evaluate and track submissions, evaluate projects in development, manage delivery of incoming scripts and cuts, and track shooting schedules.
  • Create talent lists for Mattel Development.
  • Track the status of competitive projects, new content greenlights across all platforms and external studios.
  • Track the status of external deals, pods and talent.
  • Demonstrate appropriate preparation and follow through by anticipating needs of executives and timely responding to correspondence or follow up tasks on behalf of executives.
  • Demonstrate a high level of professionalism, discretion, and confidentiality to handle sensitive information.
  • Reliable performance and prompt execution of multiple tasks.
  • Assist other Assistants as needed and handle other responsibilities as may be assigned by executives
  • Create and maintain presentation decks and creative materials that support project development, production, and cross-functional communication.
  • Creative responsibilities such as providing thoughtful creative feedback and supporting key development decisions on projects.
Qualifications

What We're Looking For: 

  • Demonstrated a growth mindset by staying curious and continuously learning, embracing challenges, and improving themselves.
  • Regular and timely in-person attendance to physical workplace
  • Minimum of 2 years of entertainment desk experience at an agency or a studio.
  • 2-3 years of work experience in administrative support
  • Must be proficient in Microsoft Office (Excel, PowerPoint, Word)
  • Must be able to handle a busy multi-line phone operating system
