Job description

Women's Care, founded in 1998, is a leading women's healthcare group in the United States, dedicated to providing the highest quality of care for women through their reproductive years and beyond. With 100+ locations and over 400 OB/GYNs and specialists across the country, Women's Care provides comprehensive patient care in obstetrics, gynecology, gynecologic oncology, urogynecology, gynecologic pathology, breast surgery, genetic counseling, maternal fetal medicine, laboratory services, and fertility.
The Practice Manager is responsible for managing all aspects of practice operations of the unit and is accountable for the overall operations business and clinical functions of the practice. The Practice Manager manages daily operations of the sites, manages staff and associated metrics, maintains budgetary and inventory control, and ensures compliance with all policies, procedures, and regulations, while providing the highest level of customer service.
Practice Manager I: 1 to 5 Providers
Practice Manager II: 6-9 Providers
Practice Manager III: 10+ Providers
  • Ensure day to day operations in the practice run efficiently, promote staff/provider collaboration, and maintain key objectives and metrics including daily huddles.
  • Partner with operational leaders and Talent Acquisition team to assist with recruitment and develop a staffing model that aligns with the practice objectives.
  • Manage patient access and the provider scheduling workflows/processes to reduce complexity and drive provider utilization, while increasing/improving access for our patients.
  • Manage front desk check-in/check-out workflows/processes to reduce errors, improve financial performance, and increase patient satisfaction.
  • Support and manage the clinical teams and, in partnership with the CSC team, ensure regulatory clinical compliance.
  • Distribution review and requests from partners.
  • Provide monthly practice operations reviews to the physicians and partners, including individual productivity.
  • Partner with providers to develop ongoing access and capacity action plans that improve and maintain provider productivity and satisfaction.
  • Review and resolve marketing tickets, google complaints, etc.
  • Coach and mentor staff to ensure development and promote engagement, retention, and growth opportunities.
  • Day to day management of input/output that drives our P&L outcomes.
  • Facilities management to ensure clean and pleasant-looking facilities that represent the Women's Care quality and brand.
  • Safety/regulatory environment compliance (partner with CSC) to ensure a safe environment that meets/or exceeds our internal policies including CLIA, DEA, and IOS certifications.
  • Implementation and execution of onboarding/ramping of new providers to achieve our revenue and growth targets.
  • Manage all inventory, equipment, and supplies while ensuring controls are in place and followed for expense control.
  • Research and correct billing issues in tandem with the operations leadership as necessary.
  • Day-to-day operational management of patient satisfaction of all services rendered, address patient complaints and customer service issues as necessary.
  • Monitor medical equipment for appropriate use and function.
  • Represent the practice at organizational meetings, providing input and decision-making where appropriate.
  • Demonstrates and embodies the Women's Care mission and core values.
  • Compliance with all HIPAA rules, regulations, and guidelines.
  • Other duties as assigned.

Qualifications:
  • Required Bachelor's degree in management, healthcare, or related field OR currently in process.
  • A minimum of 3 years progressive medical practice experience, including OBGYN experience. For the level 3 manager position, 5 years is required.
  • Computer literacy especially with EMR systems, preferably eClinicalWorks (eCW).
  • Knowledge of medical terminology, medical billing, and insurance reimbursement.
  • Knowledge and understanding of healthcare financial management and P&L.
  • Must be dependable, reliable, and punctual.
  • Ability to lead and manage a team, with experience in conflict resolution.
  • Excellent judgment, dependability, and conscientiousness.
  • Demonstrated high ethical standards and integrity.
  • Ability to provide leadership and influence others.
