Director of Corporate Operations Job Description

Hours: Full Time (30+ hours per week)

FLSA Status: Exempt (Salary)

The Director of Corporate Operations is a corporate leadership position responsible for overseeing and coordinating Vesta Property Services' Shared Services functions and ensuring strong alignment between Corporate Support Teams and Regional Operations, and Associa's PMC platform.

This position provides strategic operational leadership and coordination to key corporate support functions, including Human Resources, Information Technology, Sales, and Marketing, while serving as a key liaison between these teams and Vesta's Regional Operations. The Director will work closely with executive leadership (both at Vesta and our parent company) and business partners to promote operational consistency, improve cross-functional communication, support organizational priorities, and ensure Corporate Support Teams are effectively positioned to meet the needs of the organization.

Reporting directly to the CEO, this role requires a highly organized, collaborative, and results-oriented leader who can effectively manage both up and across the organizational structure. The Director will be expected to facilitate communication, drive accountability, manage complex initiatives, and bring together leaders and teams to achieve shared business objectives.

RESPONSIBLITIES AND DUTIES:

Corporate Operations & Executive Leadership

  • Provide leadership and oversight of Vesta's Shared Services functions, including Human Resources, Information Technology, Sales, and Marketing.
  • Directly supervise and provide leadership to the respective team leads within these functional areas.
  • Partner closely with the CEO and executive leadership team to support organizational priorities, strategic initiatives, and business objectives.
  • Translate executive direction and organizational priorities into actionable plans and ensure appropriate follow-through.
  • Provide regular updates to the CEO regarding departmental priorities, projects, challenges, risks, and opportunities.
  • Promote accountability, ownership, and effective decision-making across Corporate Support Teams.
  • Identify opportunities to improve processes, communication, service delivery, and collaboration across corporate and regional functions.
  • Help establish and maintain clear expectations, priorities, and performance standards for Shared Services leadership.
  • Ensure Corporate Support Teams remain responsive to the operational needs of Vesta's regions and business lines.
  • Regional & Corporate Collaboration
  • Serve as a primary liaison between Regional Operations and Corporate Support Teams.
  • Facilitate communication and collaboration between regional leaders and corporate departments to ensure business needs are understood and addressed effectively.
  • Identify recurring operational challenges and coordinate with the appropriate Corporate Support Team to develop solutions.
  • Help ensure corporate initiatives, policies, systems, and processes are effectively communicated and implemented throughout the organization.
  • Maintain strong working relationships with Regional Operations, Corporate Leadership, and business partners.
  • Support alignment and understanding between corporate strategy and field-level execution.
  • Escalate significant operational issues, resource needs, or cross-functional concerns to executive leadership when appropriate.

Project & Meeting Management

  • Lead and facilitate meetings involving executive leadership, Corporate Support Teams, Regional Operations, and other key stakeholders.
  • Develop meeting agendas, establish objectives, maintain focus, document action items, and ensure appropriate follow-up.
  • Coordinate cross-functional projects from initiation through completion, including establishing timelines, responsibilities, deliverables, and accountability.
  • Monitor project progress and proactively identify barriers, risks, or resource constraints.
  • Ensure action items and commitments are appropriately tracked and completed.
  • Bring together appropriate stakeholders to facilitate problem-solving and drive decisions.
  • Manage multiple competing priorities while maintaining organization, responsiveness, and attention to detail.
  • Provide executive-level visibility into the status of major projects and initiatives.

Team Leadership & Organizational Effectiveness

  • Build, develop, and support high-performing teams across Shared Services functions.
  • Provide coaching, guidance, and leadership to team leads and business partners.
  • Foster a culture of collaboration, accountability, professionalism, and continuous improvement.
  • Encourage strong partnerships between departments and promote a solutions-oriented approach to organizational challenges.
  • Assist leaders in identifying resource needs, operational gaps, and opportunities for team development.
  • Support the development of strong internal and external partnerships and effective communication practices.
  • Help ensure teams have the tools, resources, information, and direction necessary to successfully execute their responsibilities.
  • Promote organizational effectiveness by identifying opportunities to streamline communication, eliminate duplication, and improve coordination.

Business Line Understanding & Support

  • Maintain a strong understanding of Vesta's business lines, including Community Management, Amenity Management, and District Management.
  • Apply knowledge of field operations to help Corporate Support Teams better understand and respond to operational needs.
  • Partner with operational leaders to understand business challenges and translate those needs into actionable corporate solutions.
  • Consider the impact of corporate initiatives and decisions on regional and community-level operations.
  • Support consistency and alignment across business lines while recognizing the unique needs of individual regions and operations.

Technology, Process & Continuous Improvement

  • Stay current with technology, systems, tools, and evolving business practices relevant to the position and Vesta's operations.
  • Demonstrate the ability and willingness to acquire new skills and adapt to changing technologies and organizational needs.
  • Identify opportunities to leverage technology to improve communication, productivity, reporting, workflow, and operational efficiency.
  • Support the evaluation and implementation of new processes, systems, and tools that enhance organizational effectiveness.
  • Encourage a culture of continuous improvement across Shared Services functions.
  • Work closely with parent company on projects that affect the shared service departments, using technology involved with transition tasks
  • Identify opportunities to improve processes and reduce inefficiencies while maintaining quality and service standards.

Communication & Stakeholder Management

  • Establish and maintain clear, professional, and consistent communication across Corporate Support Teams and Regional Operations.
  • Communicate complex information, priorities, expectations, and decisions effectively to individuals at all levels of the organization.
  • Demonstrate the ability to manage relationships and influence outcomes across various levels of the organizational structure.
  • Effectively manage up by providing executive leadership with timely, concise, and solution-oriented information.
  • Address competing priorities and differing perspectives with professionalism, sound judgment, and diplomacy.
  • Represent Corporate Operations in a professional manner when interacting with internal and external stakeholders.

REQUIRED EXPEREINCE AND QUALIFICATIONS:

  • 5+ years of supervisory or leadership experience, preferably in a multi-department or multi-site organization
  • Bachelor's degree in Business Administration, Management, Organizational Leadership, or a related field preferred
  • Demonstrated experience leading or coordinating cross-functional teams and initiatives
  • Project management experience, including managing timelines, deliverables, stakeholders, and accountability
  • Experience working across Vesta's business lines, including Community Management, Amenity Management, and District Management, strongly preferred
  • Experience assembling, developing, and managing high-performing teams
  • Experience working with business partners, department leaders, and senior-level stakeholders
  • Demonstrated ability to successfully coordinate initiatives across multiple departments
  • Experience working in an organization with regional, multi-site, or geographically distributed operations preferred
  • Demonstrated ability to quickly learn new systems, technologies, and processes
  • Safe driving record, that adheres to Vesta standards, as driving to various amenity, district, and community management locations is required

PHYSICAL DEMANDS AND WORK ENVIROMENT:

  • Works primarily from a private office or designated individual workspace.
  • Professional, quiet, and climate-controlled office environment conducive to focused work and confidential discussions
  • Occasional lifting of items up to 15 lbs.
  • Occasional visits to amenity facilities, clubhouses, pools, and recreational areas are required
  • Frequent travel may be required to support regional operations, meetings, organizational initiatives, or other business needs
