About OurCalling
OurCalling is a ministry specifically focused on the unsheltered homeless community. We operate an outreach center for the homeless community near downtown Dallas. We are passionate about loving and helping the unsheltered homeless transition to better lives. We are a faith-based ministry where every job is a ministry position. Each staff member should be able to clearly share the Gospel and communicate their own testimony. While everyone on the team wears multiple hats, our primary function is getting people off the street and helping them walk with Jesus. We want everything that we do to point to Jesus. We serve 200-400 guests daily. We are a "zero-barrier" facility that is welcoming and compassionate to all who enter.
Job Summary: The Executive Project Manager (EPM) serves as a strategic advisor and Administrative Assistant to the CEO, supporting executive communications, project management, and daily operations in a fast-paced, technology-driven ministry environment. The EPM ensures the CEO's time and focus are effectively allocated, while advancing high-priority organizational initiatives and public leadership responsibilities. Additionally, this role will interact directly with and support the COO as needed. OurCalling is a sophisticated, technology-supported, and technology-development nonprofit and this position requires confidence and competence in adopting and using a wide range of technical tools including project management tools, business intelligence, using/building dashboards, Apple-based applications and technologies. The primary workspace will be in downtown Dallas at the OurCalling navigation center.
Core Responsibilities
  • Manage and prioritize the CEO's calendar, speaking schedule, and travel logistics for all ministry and public engagements.
  • Oversee and coordinate cross-departmental projects, maintaining momentum and clarity from planning through execution.
  • Prepare executive briefings, research meeting topics and attendees, and ensure the CEO is fully prepared for meetings, events, and presentations.
  • Produce high-quality reports, dashboards, and presentations to support decision-making and stakeholder communications.
  • Maintain strong lines of communication between the CEO and internal/external partners.
Executive Briefing & Schedule Management
  • Proactively manage the CEO's daily and long-term schedules to optimize time for strategic objectives, meetings, and external commitments.
  • Curate and deliver concise briefing materials, background notes, and recommendations ahead of meetings and public events.
  • Anticipate conflicts or schedule changes, resolving issues swiftly to ensure smooth transitions and effective agenda management.
Administrative, Financial & Confidential Support
  • Oversee executive expense management, including tracking reimbursements, processing invoices, and maintaining accurate records in line with organizational policies.
  • Provide high-level clerical and administrative support: maintain organized files, manage correspondence, prepare documents, and ensure critical information is accurately recorded and easily accessible.
  • Serve as a trusted gatekeeper and main point of contact for the CEO by screening communications, calls, and visitors, minimizing disruptions, and redirecting or handling general queries and requests as appropriate.
  • Ensure the utmost confidentiality in all matters relating to leadership decisions, sensitive projects, and proprietary or personal information; exercise sound judgement and professional discretion as a representative of the CEO's office.
Education and Experience
  • Bachelor's degree or comparable work experience
  • Minimum of 10 years' experience within systems development and/or project management environments
  • Minimum of 10 years' experience managing administrative matters
  • Demonstrable track record of success administering project-centric environments with excellence, managing multiple priorities and deadlines
  • Experience managing all travel logistics on an individual or teams' behalf, including detailed itinerary planning, booking flights, hotels, and ground transportation, and providing real-time support for any travel disruptions. This includes considering personal preferences and having contingency plans.
  • Excellent skills in planning, organizing, and managing calendars, correspondence, and other daily responsibilities for an executive leader or a project team
  • Excellent problem-solving and conflict management abilities
  • Excellent attention to detail and organizational skills while working autonomously, with minimal or no supervision
  • Experienced in maintaining high standards of performance, quality, credibility, and integrity
  • Kind, humble, friendly demeanor; a team-player, able to effectively communicate with all internal and external stakeholders including staff, donors, volunteers, and neighbors experiencing homelessness
  • Able to maintain a high level of professionalism and confidentiality while creating a great customer or stakeholder experience
  • Commitment to serving the homeless community and advancing the vision and mission of OurCalling; previous experience working in a faith-based organization, preferred
  • Upholding a close and growing relationship as a disciple of Jesus Christ
  • Experience with dashboards like Klipfolio, automation platforms like Zapier, and being comfortable using and learning various new technologies, preferred
