The work location for this role is 483 Bay Street in Toronto until approximately late 2026, when the work location will change to the new Mississauga office at 3 Robert Speck Parkway.

How You'll Make an Impact

The Records Management Analyst acts as a subject matter expert within the Data Protection Office (DPO), supporting the enterprise Records & Information Management (RIM) and Data Governance program. The role ensures the effective lifecycle management of information assets-physical and digital-through classification, retention, protection, accessibility, and defensible disposition in alignment with regulatory obligations, corporate policies, and enterprise standards.

This position strengthens compliance, operational resilience, and information governance maturity by collaborating with Legal, Privacy, Technology, Cybersecurity, and business units to ensure a consistent, auditable, and well-governed records environment. By ensuring that records are properly managed across their lifecycle, the role reduces legal, privacy, and cyber risks while enabling efficient business operations and supporting the organization's commitment to safeguarding client and corporate information.

  • Support the development of the enterprise RIM Framework and Program, including governance structures, operating model, control environment, and multi-year maturity roadmap aligned to Fidelity International and relevant regulatory and legal requirements.
  • Support the implementation and enforcement of the Records & Information Management Policy, Data Classification Standard, and retention/disposition procedures.
  • Maintain and enhance the enterprise Records Retention Schedule (RRS) and classification frameworks to ensure consistency and compliance.
  • Conduct periodic reviews of business unit practices to ensure adherence to retention, storage, and destruction requirements.
  • Work with business units to classify records based on sensitivity, confidentiality, regulatory requirements, and business value.
  • Map data flows, repositories, and storage locations to ensure traceability and lifecycle control.
  • Coordinate secure and compliant retention, archival, and destruction activities across physical and electronic repositories.
  • Act as a trusted advisor to business units on records management practices and tools.
  • Oversee third-party providers (e.g., physical and digital archiving solutions) to ensure service quality and compliance.
  • Deliver training and awareness programs on RIM policies, tools, and best practices.
  • Develop and maintain metrics, dashboards, and reporting (KPIs/KRIs) for leadership.

What We Are Looking For:

  • College Degree (3-year program) or equivalent working experience
  • 3 + years of experience in records management, information governance, data privacy, or related field.
  • Hands-on experience with records retention and disposition framework, records lifecycle management (physical + digital), enterprise systems (M365, SharePoint, records repositories)
  • Experience supporting regulatory compliance and audit activities
  • Experience with data governance or privacy programs is an asset
  • Financial services or regulated industry environment is an asset
  • Exposure to vendor management (e.g., physical and digital archiving solutions) is an asset
