Position Summary
The Maintenance Coordinator serves as the primary customer service and project coordination representative for FlyUSA's Maintenance, Repair, and Overhaul (MRO) operation. This role is responsible for coordinating maintenance estimates, scheduling activities, customer communications, work order administration, and invoicing to ensure a seamless maintenance experience from initial quote through aircraft return to service.
Working closely with Maintenance Control, Aircraft Management Services (AMS), the General Manager, shop leadership, and the parts department, the Maintenance Coordinator serves as the central point of communication between customers and internal teams. This individual ensures maintenance estimates are accurate and timely, work scopes receive the appropriate approvals before work begins, customers are kept informed of project status and scope changes, and completed work is properly documented and billed.
Initially, the role primarily supports FlyUSA's Part 91 and Part 135 managed fleet by coordinating maintenance projects and providing exceptional customer service throughout the maintenance lifecycle. As FlyUSA continues to grow its FAA Part 145 Repair Station, the Maintenance Coordinator will also support relationships with third-party operators, corporate flight departments, and aircraft owners while helping establish scalable customer service, quoting, and administrative processes that support the continued growth of the MRO operation.
Key Responsibilities
Customer Service
  • Primary liaison between the TPA MRO, internal and external customers. Internal customers are MXC and AMS for Part 91/135 maintenance quoting, scheduling, and billing. 
  • Ensure estimates and scopes are approved before work begins
  • Provide timely, accurate quotes/estimates working with internal departments
  • Manage customer expectations on scheduling and turnaround
  • Review and prepare invoices against authorized quotes

Operations Coordination
  • Coordinate with MXC, AMS,GM, and Shop supervisors on future pipeline
  • Coordinate with GM, Shop supervisors, and lead techs on squawk review and quote development
  • Coordinate with the parts team to confirm parts availability and pricing for quoted work
  • Ensure work orders are opened prior to maintenance beginning and reviewed for accuracy once complete, prior to customer review; upon approval, complete billing and close out the work order

Reporting & Administration
  • Track, maintain, and report on work order pipeline and related metrics
  • Maintain organized customer records and communication history in CRM or equivalent system
  • Manage overall quoting process, including use of software packages (Corridor, CAMP, etc.)
Qualifications
Required
  • 3–5 years in aviation MRO sales/customer service/operations, or equivalent flight ops/FBO experience
  • Understanding of general maintenance concepts and Part 91/135 regulatory framework
  • Strong written and verbal communication skills
  • Proficiency with standard business tools (email, scheduling, spreadsheets, CRM)

Preferred
  • A&P certificate or significant experience alongside certificated mechanics
  • Experience supporting a Part 145 repair station/MRO
  • Familiarity with turbine platforms (Citation, Falcon, Pilatus)
  • Familiarity with maintenance tracking systems (CAMP, Corridor)
