Description:BUSINESS MANAGER

Reports To: Branch Manager

Summary

The Office Manager serves as a key leader within the dealership, fostering a positive and professional workplace environment while supporting the daily administrative and operational needs of the team. This role maintains consistent and timely communication across departments, staying closely connected with other managers and staff to ensure alignment and efficiency in day-to-day operations. Some key responsibilities are to maintain management and warranty schedules, process and post customer payments, review and respond to emails. This position also requires various administrative tasks such as data entry, postings, distributing mail, managing schedules, ordering necessary office supplies, writing effective emails and other duties as assigned.

Essential Responsibilities

  • Serve as the primary administrative partner to the Branch Manager.
  • Coordinate internal events, meetings, and team activities, including organizing meals, refreshments, and logistical details.
  • Perform other administrative support tasks, such as keeping appointment calendars, data entry, postings, and ordering supplies.
  • Work closely with staff, management, customers, vendors, and other external partners.
  • Order necessary supplies for the dealership.
  • Answer, screen, and forward telephone calls.
  • Greet walk-in customers and other visitors.
  • Write effective emails.
  • Obtain or send information or documents using a computer, mail, or other shipping methods.
  • Approve payment for vendor invoices
  • Maintain current statements with our vendors.
  • Review/respond to emails.
  • Process credit card settlements.
  • Copy, file and maintain documents and records.
  • Collect, sort, distribute and prepare mail and courier deliveries.
  • Deposit cash and check payments daily / weekly.

Physical Demands

Manual dexterity: individual should possess good manual dexterity to handle various tasks, such as operating a phone system, computer, keyboard, and other office equipment efficiently.

Lifting: While lifting heavy objects may not be a frequent requirement, the individual may occasionally need to handle packages, mail, or other items of moderate weight.

Working hours: The individual typically works standard office hours; however, they may be expected to accommodate occasional early mornings, or evenings based on the company's needs.
