Job TitleMail Services SpecialistJob Description SummaryThe Office Services Specialist is responsible for supporting daily mail, shipping, and receiving operations while also providing general facilities and workplace support. This role ensures the efficient, accurate handling of all incoming and outgoing shipments and contributes to a clean, organized, and fully functional office environment. The Specialist partners with the Facilities team to support conference rooms, workplace readiness, and overall employee experience.Job Description

Essential Duties and Responsibilities

Incoming Mail and Packages:

  • Monday-Friday (8:00am-5:00pm).
  • Pick mail daily from the post Office and other designated locations.
  • Date stamp, sort and distribute US Mail and special deliveries (Fed Ex, UPS, Parcel Post, etc.)
  • Maintains accurate logs and records on all incoming mail and packages.
  • Screen and handle all incoming mail and packages appropriately.
  • Deliver special, certified, and time-sensitive packages promptly.
  • Deliver mail to departments, individuals, or designated drop locations.

Outgoing Mail and Packages:

  • Process all outgoing mail and shipments in a timely and accurate manner.
  • Sort, meter, and prepare outgoing mail.
  • Process accountable shipments and prepare certified, registered, and insured mail.
  • Operate postage and shipping equipment according to policy and regulations.
  • Maintain required logs, tracking records, and documentation.
  • Collect outgoing and interoffice mail from designated pickup areas.

Facilities & Workplace Support:

  • Support conference room setup, resets, and meeting readiness (furniture arrangement, basic room checks).
  • Provide hospitality support for meetings and events as needed.
  • Perform workstation quality control checks to ensure network connectivity is functional and cable management is clean, safe, and organized.
  • Stock office supplies, pantries, and common areas to maintain appropriate inventory levels.
  • Assist with moving furniture and reconfiguring workspaces as needed.
  • Manage and organize storage rooms and supply areas to maintain cleanliness and accessibility.
  • Partner with Facilities team to ensure workplace standards for appearance, readiness, and overall functionality are met.

General Operations & Support:

  • Maintain a clean, organized mailroom, shipping area, and company vehicle (if applicable).
  • Communicate with supervisors and clients regarding job status, priorities, or service issues.
  • Assist with onboarding and orientation of new employees related to mail and office services processes.
  • Utilize mail and shipping software systems as required.
  • Answer mailroom phone and respond to service requests.
  • Handle sensitive and confidential documents and information with discretion.
  • Follow all C&W Services and client policies and procedures.
  • Use equipment and supplies in a cost-efficient manner.
  • Perform other duties as assigned. (standardized language)

Knowledge and Skills

  • High school diploma or equivalent required.
  • Ability to operate a van or small delivery vehicle (if required).
  • Ability to lift up to 50 pounds on a regular basis.
  • Working knowledge of postal equipment and shipping software.
  • Understanding of postal regulations and shipping procedures, including international shipments.
  • Strong problem-solving and decision-making skills.
  • Ability to work effectively in a fast-paced, team-oriented environment.
  • Strong attention to detail with a focus on accuracy and quality.
  • Ability to prioritize tasks and manage multiple responsibilities.
  • Excellent communication and customer service skills.
  • Intermediate computer skills required.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate's experience and qualifications.
The company will not pay less than minimum wage for this role.
The compensation for the position is: $16.15 - $19.00
