Job Description
In this role, you will be part of the Virtual Mail Division, ensuring our customers can digitize their mail and view its contents from anywhere in the world. Your primary responsibilities will involve receiving, sorting, scanning, and processing mail efficiently and accurately. You will play a crucial role in maintaining the smooth flow of mail between our receiving and processing sites, ensuring timely delivery of our services.
The ideal candidate is passionate about providing exceptional customer service and has a keen eye for detail. You will work closely with other team members and stakeholders to streamline processes, identify and resolve issues, and contribute to continuous improvement initiatives.
Duties and Responsibilities
  • Receive, sort, pack, ship, scan, and process mail promptly and accurately.
  • Maintain exceptional punctuality, attendance, and attention to detail.
  • Lift up to 50 lbs and push up to 60 lbs on a cart.
  • Demonstrate a self-motivated and proactive approach to work.
  • Comply with all safety policies and the company's Code of Conduct.
  • Exhibit a deep understanding of the Virtual Mail Delivery operation processes.
  • Identify process issues or constraints and work with leadership to resolve them.
  • Assist in training Virtual Mail Agents and other team members as required.
  • Digitally assign mail items to customer accounts quickly and accurately.
  • Assist management in coordinating production distribution and work distribution.
  • Collect, proof, and review operational data, including Digital Delivery and Shipping records.
  • Serve as a backup or secondary contact for office location issues as needed.
  • Assist partners, vendors, couriers, and carriers with delivery inquiries and issues.
  • Investigate, report on, and solve delivery chain discrepancies.

Required Experience/Skills
  • 1 year of experience in a mailroom, data entry position, or light industrial environment (warehouse/logistics).
  • Proven ability to effectively communicate both verbally and in writing.
  • Demonstrated ability to identify and provide solutions to daily problems.
  • Proficient in using spreadsheets, specifically Google Sheets.
Nice-to-Haves
  • Personal interest in the legal services industry.
  • Experience with mail sorting and scanning equipment.
  • Familiarity with postal regulations and procedures.
