Family & Executive Assistant

About the Role
We are seeking an exceptional, highly organized, discreet, and proactive Family & Executive Assistant to support our household and busy entrepreneurial lifestyle. This is a dynamic role for someone who thrives on creating order, anticipating needs before they arise, and making life run seamlessly.
The ideal candidate is polished, resourceful, detail-obsessed, emotionally intelligent, and genuinely enjoys helping others. No task is too big or too small—from coordinating luxury travel and managing household projects to assisting with business logistics and special events. This position primarily supports our family while also providing executive assistance to the founder of a luxury fine jewelry company.

Responsibilities
Personal & Family Support
• Manage complex personal calendars and appointments
• Coordinate domestic and international travel, including flights, hotels, transportation, dining reservations, and itineraries
• Oversee household operations and vendors (housekeepers, contractors, landscapers, maintenance, etc.)
• Coordinate repairs, deliveries, and home projects
• Manage gifting for birthdays, holidays, anniversaries, and special occasions
• Assist with event planning, entertaining, and family gatherings • Run occasional personal errands and source specialty items
• Help coordinate pet appointments and care as needed
• Track important dates, renewals, memberships, and household expenses
• Organize closets, inventories, and household systems when needed
Executive & Business Support
• Manage executive calendar and scheduling
• Coordinate meetings and travel related to the jewelry business
• Prepare itineraries, meeting materials, and follow-up items
• Assist with email organization and administrative tasks
• Track projects and ensure deadlines are met
• Help coordinate photoshoots, events, launches, and special projects
• Conduct research and source vendors, products, and services
• Assist with light operations and administrative support for the business
