Job description

TK Elevator is currently seeking an experienced Operations Coordinator- Service/Repair in Oakland, CA. ESSENTIAL JOB FUNCTIONS: Supports daily Service and Repair field operations by reviewing callback, open-ticket, and work-order reports; identifying outstanding or unassigned work; confirming manpower assignments; and coordinating priorities with Service and Repair Superintendents/Managers. Maintains daily field staffing and scheduling information, including branch flowcharts, shared calendars, on-call lists, on-car lists, field attendance, vacation schedules, and work assignments. Provides required daily updates to Regional Dispatch. Maintains and communicates the Down Car List, obtaining updates from Service and Repair Superintendents and providing current equipment status to Dispatch, National Accounts, customers, and other appropriate stakeholders. Acts as the liaison between branch Service and Repair operations and Regional Dispatch, including reviewing open-ticket reports, coordinating field coverage, assigning or assisting with ticket assignments, and communicating schedule or manpower changes. Provides status updates to National Accounts and customers regarding open work orders, callbacks, repairs, down units, and other outstanding Service and Repair activity. Prepares special reports and Requests for Information for high-profile accounts as needed. Reviews Work in Progress reports weekly and provides required updates and documentation to Regional Shared Services, billing teams, and other appropriate departments. Performs Install Base maintenance and creates safety inspection tickets as needed. Monitors applicable reports to ensure safety inspections and other work are processed under the appropriate ticket type. Supports Service and Repair billing activities, including reviewing weekly pre-invoicing reports, researching billable calls, reviewing special accounts, obtaining required purchase orders, and resolving items that may delay invoicing. Completes payroll and timekeeping support for Service and Repair field employees, including manual time and expense entry, DVR processing, cost corrections, payroll submissions, and tracking and forwarding required receipts and supporting documentation. Maintains and tracks field employee vacation requests and attendance information and enters required information into applicable Operations systems and shared calendars. Creates parts requisitions, receives parts, and monitors outstanding transactions, including reviewing reports for unreceived invoices and following up on discrepancies. Reviews invoice on-hold reports and works with the Regional Procurement Department and other appropriate teams to research and resolve issues. Performs operational research and reporting for Service and Repair leadership, which may include Account History, Work in Process, Routing, TK Exact, missed service, sick unit, pre-invoicing, billable-call, and high-profile account reports. Supports field employees with technology and operational systems, including mobile-device downloads, system access or information, tools, brochures, and other required resources. Coordinates new and replacement mobile phones for Service and Repair employees. Tracks Operations system and tool audits and assists with maintaining required Service and Repair operational records. Assists Service and Repair leadership with safety meetings and maintains required safety documentation and records. Compiles documentation for First Reports of Incidents, claims, and/or lawsuits, including contracts, tickets, work records, and other requested Service and Repair documentation for Legal or other appropriate departments. Coordinates field employee administrative requirements, including badging applications and tracking, uniform orders, and other Service and Repair field support needs. Processes Service and Repair payments and financial documentation as required, including forwarding down-payment information to Accounts Receivable, submitting customer checks to the appropriate lockbox, and coding applicable Accounts Payable invoices. Coordinates Service and Repair fleet administration, including maintaining vehicle information and submitting required vehicle change forms to the applicable fleet management provider. Performs other Service and Repair administrative and operational support duties as assigned to support efficient branch operations and customer service.
