The Licensing Coordinator is responsible for performing tasks related to the State of Arizona license application processes; assisting prospective/existing customers in the license process, accepting payments, and providing information on available licenses, fees charged, and the application process; interacting with businesses, customers, other departmental employees, and other agencies face-to-face through both inbound and outbound phone calls. This role provides detailed information to the public in response to their needs, accepts payment and fiscal-related source documents, notes essential information, and ensures that information and payments submitted are accurate and complete.
Processes initial, renewal, and amendment license applications within required time frames; analyzes, verifies, interprets, and tracks primary source documentation received in support of license applications, permits, and registrations to determine validity and completeness of documents and identify deficiencies; accepts payments, maintains payment logs, assists in audit of payment logs, and reports to management as to payment trends; and reviews all documents submitted, determines date that should be entered, and requests additional information if data is unclear, missing, or contradictory.
Responds to either verbal or written requests regarding application status and processes related to Arizona licensure, and confirming that protocols, procedures, and policies are followed for the number of days to approve a license.
Evaluates and inputs applicant information into the Licensing database to ensure all applicable requirements are met, and provides data to the Licensing Manager for approval.
Reports to supervisors including the Licensing Manager and Assistant Director regarding audit and reconciliation of payments; and assists in creating agency forms and procedures to ensure accurate and timely reporting of payments received.
Knowledge of:
Regulatory principles and practices, as well as Federal and state laws and regulations regarding licensing;
Interview and information gathering techniques.
Skills in:
Computer software and systems, including standard business solution software and department specific legacy systems (e.g. the Department's Licensing Control System, ELLI, a database which includes imagining);
Organization and workload management;
Oral and written communication of complex regulatory issues in a clear, concise and effective manner to licensing staff;
Conflict resolution;
MS Office, Google Workspace, and database management;
Customer service.
Ability to:
Establish and maintain working relationships with colleagues, staff, and other departments and the public;
Demonstrate tact and diplomacy in representing the Department;
