Summary

The Project Quotations Specialist is responsible for preparing, managing, and coordinating detailed project quotations based on customer requirements, technical specifications, and product capabilities. This role plays a key part in supporting the sales and project management teams by ensuring accurate, timely, and competitive quotes for customer proposals, bids, and tender submissions.

Essential Job Functions

  • Review and interpret customer RFQs (Requests for Quotation), specifications, drawings, and related documentation.
  • Develop accurate cost estimates, pricing, and technical proposals using internal tools, ERP systems, and vendor inputs.
  • Generate detailed quotes using internal pricing tools, vendor quotes, and BOMs, ensuring compliance with NEC, UL, and client requirements.
  • Prepare and format bid packages, including pricing sheets, technical documentation, exclusions, and lead time information.
  • Collaborate with engineering, sales, procurement, and manufacturing to ensure quotations align with capability, scope, and timelines.
  • Coordinate with vendors and distributors for pricing, lead times, and product availability (e.g., Siemens, Eaton, ABB, Schneider).
  • Maintain a library of standard pricing templates, quote formats, and historical data for reference and continuous improvement.
  • Ensure quotes comply with internal pricing strategies, margin requirements, and commercial terms.
  • Track and follow up on outstanding quotes; support sales team in negotiations or clarifications.
  • Support the sales team with bid follow-ups, value engineering options, and customer clarifications.
  • Respond to customer inquiries and provide updates or revisions as needed.
  • Maintain records of all quotations and communications for audit and project tracking.
  • Participate in internal project reviews and handoff meetings to ensure smooth transition from proposal to execution.
  • Identify trends in pricing, win rates, and material costs to support continuous improvement in the quoting process.
  • Identify opportunities to streamline quoting processes or improve win rates through analytics and feedback.

Education/Experience

  • Associate's or Bachelor's degree in Business, Engineering, Construction Management, or a related field.
  • 2-5 years of experience in estimating, quoting, or project coordination, preferably in a technical or B2B environment.
  • Proficiency in Microsoft Excel, ERP/CRM platforms (e.g., Salesforce, SAP, NetSuite), and document management tools.
