Job description

The Student Accounts Manager is responsible for the administration, oversight, and continuous improvement of student account operations at Carthage College. This position, reporting to the Director of Student Financial Services, manages billing, payment processing, collections, account reconciliation, and student account customer service while ensuring compliance with institutional policies and applicable federal and state regulations. The Student Accounts Manager utilizes the Workday Student and Finance platforms to support efficient operations, accurate reporting, and a high level of service to students, families, faculty, and staff.
Key Responsibilities:
Student Account Operations
  • Manage daily operations related to student billing, payments, refunds, collections, and account reconciliation.
  • Oversee student account receivables and monitor delinquent accounts.
  • Coordinate tuition and fee assessment processes within Workday.
  • Ensure accurate posting of financial aid, payments, waivers, and adjustments.
  • Administer payment plans and assist students and families with account resolution.
  • Review and process refunds in compliance with federal regulations and institutional policy.
  • Maintain accurate student financial records and documentation.

Workday Administration and Reporting
  • Utilize Workday to manage student account transactions and processes.
  • Serve as a functional lead for student account-related Workday processes and reporting.
  • Troubleshoot system issues and collaborate with the Library Information Technology department on enhancements and process improvements.
  • Develop and maintain reports, dashboards, and reconciliations within Workday.
  • Participate in Workday testing, implementation updates, and training initiatives.

Compliance and Financial Stewardship
  • Ensure compliance with federal, state, and institutional regulations related to student accounts and cash handling.
  • Assist with annual audits and provide required documentation and reconciliations.
  • Maintain internal controls and support best practices for financial operations.
  • Monitor compliance with FERPA and data privacy standards

Customer Service and Communication
  • Provide exceptional customer service to students, families, faculty, and staff regarding student account matters.
  • Counsel students and families on payment options, billing policies, and account responsibilities.
  • Develop clear and effective communication materials related to billing and payment processes.
  • Resolve complex account issues with professionalism and discretion.

Supervision and Leadership
  • Supervise one full-time staff member, including hiring, training, scheduling, and performance management.
  • Foster a collaborative and service-oriented office environment.
  • Identify opportunities for operational efficiencies and continuous improvement.

Qualifications:
  • Bachelor's degree in Business, Accounting, Finance, Higher Education Administration, or a related field.
  • Minimum of 3-5 years of progressively responsible experience in student accounts, bursar operations, accounting, or related financial services.
  • Experience working with ERP systems, preferably Workday.
  • Strong analytical, organizational, and problem-solving skills.
  • Demonstrated ability to manage confidential information with discretion.
  • Excellent interpersonal, written, and verbal communication skills.
  • Proficiency with Microsoft Office applications, particularly Excel.
  • Experience in higher education student financial services.
  • Prior supervisory experience.
  • Knowledge of federal financial aid regulations and compliance requirements.
  • Experience with process improvement initiatives and systems implementation.
