Job description

Lawyers On Demand, a Consilio company, is actively recruiting for a temporary Business Litigation Legal Assistant for an onsite position with a prestigious law firm client in Washington, DC.

Schedule: 37.5 hours per week — 9:00 a.m. – 5:30 p.m., or 8:30 a.m. – 5:00 p.m.

Work Arrangement: Onsite in Washington, DC, five days per week, No hybrid option.

Duration: Open-ended assignment with temp-to-perm potential for an outstanding candidate.

About the Role

This is a high-urgency, deadline-driven Business Litigation Docketing & Administrative Support role supporting a busy litigation team in a high-volume practice. The position combines strong administrative execution with substantive business litigation support, particularly in docketing, calendaring, and local court filings. The role will primarily support construction litigation matters, while also touching broader business litigation, and will work closely with approximately five attorneys.

Most Important Responsibilities:

The core focus of this role is on executing high-priority administrative and litigation support tasks quickly and accurately, including:

  • Timekeeping / Attorney Time Entry
    Edit and process attorney shorthand time entries with accuracy and speed to support timely billing.
  • Chrome River Reimbursements
    Handle expense reimbursements and related exception resolution in Chrome River efficiently and with close attention to detail.
  • Calendaring / Deadline Management
    Maintain attorney calendars, track meetings and litigation deadlines, and ensure response dates and other critical milestones are properly recorded and monitored.
  • Travel Coordination
    Arrange business travel, including flight options, hotel accommodations, and related itinerary planning.
  • Email Maintenance & Reconciliation
    Review attorney inboxes, organize case-related correspondence into the appropriate Outlook folders, and remove nonessential items such as legal blog updates and other irrelevant communications to keep inboxes clean and actionable.

Key Responsibilities:

  • Manage docketing and all court deadlines, ensuring accurate calendaring and proactive follow-up.
  • Prepare, proofread, and process local court filings and related service requirements in compliance with jurisdiction-specific rules and timelines.
  • Coordinate with attorneys regarding case schedules, hearings, motions, discovery timelines, and other litigation deadlines.
  • Support business and construction litigation matters in a high-volume environment.
  • Process Chrome River reimbursements/expenses and help resolve submission issues or exceptions.
  • Edit and manage attorney time entries to support timely billing processes.
  • Maintain attorney calendars and coordinate internal and external scheduling.
  • Coordinate travel arrangements, including flights, hotels, and itinerary details.
  • Manage and reconcile attorney email inboxes, including routing case-related emails and cleaning out nonessential communications.
  • Assist with general legal administrative support across a team of approximately five attorneys.
  • Conduct conflicts checks and support new matter intake through the firm’s systems.
  • Open client and matter files in accordance with firm intake protocols.
  • Assist with engagement letter drafting and related administrative documentation.
  • Review pre-bills, track edits, and assist with timely billing submission.
  • Perform additional legal and administrative duties as assigned.

Qualifications:

  • Proven experience in a legal assistant, litigation secretary, docketing, or similar law firm support role.
  • Strong experience with docketing and local court filings, ideally including DC-area courts.
  • Demonstrated ability to manage deadlines, calendaring, and competing priorities with precision and urgency.
  • Prior experience supporting litigation practices; construction litigation experience is a strong plus.
  • Exposure to business litigation is helpful.
  • Experience in high-volume litigation environments strongly preferred.
  • Strong administrative background, including:
    • calendar management
    • billing support / pre-bill review
    • reimbursements
    • travel coordination
    • scheduling
    • inbox management
  • Proficiency with Chrome River preferred, or experience with similar expense platforms.
  • Excellent organization, communication, follow-through, and attention to detail.
  • Ability to support approximately five attorneys concurrently while maintaining accuracy and responsiveness.
