Job Overview
We are seeking a dynamic and detail-oriented Leasing & Admin Assistant to join our vibrant property management team. This role is vital in ensuring smooth leasing operations, providing exceptional customer service, and maintaining efficient administrative processes. The ideal candidate will be energized by a fast-paced environment, possess strong organizational skills, and demonstrate a proactive approach to supporting property management activities. Your contributions will directly impact tenant satisfaction, lease compliance, and overall property performance.
Duties
  • Assist with leasing activities including property tours, applicant screening, and lease negotiations to maximize occupancy rates.
  • Manage lease documentation, contracts, and legal administrative tasks ensuring compliance with Fair Housing regulations and landlord-tenant law.
  • Utilize property management software such as Yardi and OneSite for data entry, rent collection, and maintaining accurate tenant records.
  • Support Section 8 and LIHTC (Low-Income Housing Tax Credit) programs by coordinating paperwork and ensuring regulatory adherence.
  • Handle customer inquiries via phone and email with professional etiquette, providing timely information about properties, lease terms, and maintenance requests.
  • Collaborate with maintenance teams to coordinate property upkeep and facilities management using PropertyWare software.
  • Maintain organized filing systems for legal documents, contracts, and tenant records while ensuring confidentiality and data security.
  • Assist in conflict management by addressing tenant concerns promptly and professionally to foster positive relationships.
  • Support upselling efforts by promoting available units or additional services to prospective tenants during interactions.
Requirements
  • Proven experience in property management administration or real estate administrative roles.
  • knowledge of LIHTC programs, Section 8 housing policies, Fair Housing regulations, landlord-tenant law, and legal administrative procedures.
  • Proficiency in Office software (Word, Excel), and CRM systems for data entry and record keeping.

  • Experience with property leasing processes including contract negotiation and lease signing.
  • Familiarity with facilities management tools such as CMMS for coordinating property maintenance activities.
