Support the work that drives the marketing team success.
Join our Clients & Markets team as an Administrative Coordinator and help bring programs and initiatives to life through strong organization and collaboration.

You will be focusing on:

Project Coordination

  • Coordinate marketing projects, clarify requirements and deadlines with stakeholders, and track progress to meet all standards and timelines.
  • Support brand campaigns and handle merchandise orders.
  • Support updating and maintaining our intranet on SharePoint online.
  • Oversee tasks outsourced to external vendors, such as printing companies, translation, etc.
  • Coordinate meetings for client survey and internal meetings and manage tables for awards.
  • Complete new client information request forms.
  • Assistance with coordinating suites and tickets at sporting venues.

Administrative Support

  • Process invoices and manage vendor and contract agreements in accordance with firm policies and procedures for the team.
  • Accurately enter purchase orders info the system and confirm.
  • Coordinate with all members of clients and markets to ensure order and purchasing data aligns with requirements.
  • Request and reconcile virtual credit card expenses.
  • Support data entry and updates to our CRM as required.
  • Reconcile budgets and support updates to the national team.

What you bring to the role:

  • Strong commitment to continuous learning, professional growth, and personal initiative.
  • Proven ability to navigate ambiguity and drive clarity in fast-paced environments.
  • Must have proven experience coordinating projects and understand the tasks required to support both project deliverables and administrative support.
  • Proven ability to manage multiple priorities and projects with a high degree of accuracy and professionalism.
  • Strong interpersonal skills and a proactive, solutions-oriented, client-focused mindset.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with Power BI, iManage, Microsoft Teams, and basic accounting principles is an asset.
  • Proactive, resourceful, and solutions oriented with excellent organizational and time management skills.
  • Ability to work independently and adapt to shifting priorities in a dynamic environment.
  • Bilingual (English/French)

The salary bands provided reflect the typical range for this role in the region indicated.
