Position Overview
Pro-Serv Food Equipment is seeking a highly organized, detail-driven Parts & Inventory Coordinator to manage all parts ordering, receiving, labeling, warehouse organization, and system updates for our Raleigh location.
This role is critical to operational success. Accuracy, accountability, and same-day execution are required standards. The Parts & Inventory Coordinator serves as the local inventory control point for Raleigh while following company-wide inventory procedures.
Core Responsibilities
Parts Ordering (Raleigh / Charlotte Jobs Only)
  • Order all required parts for Raleigh jobs, warehouse stock, and truck stock
  • Create and manage Purchase Orders (POs) in ServiceTrade
  • Verify pricing, quantities, and vendors before submission
  • Communicate urgent, delayed, or back-ordered parts to the Inventory & Operations Manager

Receiving & Verification
  • Physically receive all parts delivered to the Raleigh warehouse
  • Match parts against packing slips and POs
  • Identify and report shortages, damages, or discrepancies immediately
  • Receive parts in ServiceTrade same business day


Labeling & Identification
  • Label all parts upon receipt with job number, PO number, or stock location
  • Ensure no unlabelled parts are placed into storage
  • Separate job-specific parts from warehouse stock

Warehouse Organization
  • Maintain organized, clearly marked storage areas
  • Place parts in designated Raleigh warehouse locations
  • Secure high-value or critical parts
  • Maintain warehouse cleanliness and standards

System Updates & Accuracy
  • Update PO and job statuses in ServiceTrade
  • Ensure accurate job notes and part tagging
  • Close POs only when fully verified
  • Flag incomplete or partial orders for follow-up

Inventory Control
  • Maintain accurate Raleigh warehouse inventory
  • Participate in cycle counts and physical inventories
  • Investigate and report discrepancies immediately
  • Prevent inventory loss through proper handling

Daily Closeout & Reporting
  • Verify all daily receipts are entered in ServiceTrade
  • Confirm all parts are labeled and stored
  • Submit daily End-of-Day (EOD) reports
  • Complete assigned audits
  • Leave warehouse and systems in clean, accurate condition

What This Role Is Not Responsible For
  • Ordering or receiving for other locations (New Bern, Wilmington, Myrtle Beach)
  • Warranty claim submissions
  • Customer billing or invoicing
