Job description

Vast is looking for an Events Coordinator, reporting to the Senior Manager of Experience, to support the development of the systems that will be required for the design and build human-rated space stations.ย 

You'll support the planning and execution of a variety of events, including industry conferences, business development engagements, internal gatherings, and VIP experiences. Working closely with internal teams, vendors, and partners, you'll help ensure events are well-organized, on brand, and executed seamlessly from start to finish

This will be a full-time, non-exempt position located in our Long Beachย location.ย 

Responsibilities:ย 

  • Support the planning and execution of events including trade shows, internal events, conferences, and partner activations
  • Coordinate event logistics including scheduling, travel, shipping, registration, setup, and breakdown
  • Assist with vendor coordination across venues, catering, AV, fabrication, and other event partners
  • Maintain production timelines, run-of-show documents, and event checklists
  • Help ensure brand consistency across event materials and attendee touchpoints
  • Track event deliverables, deadlines, invoices, and production expenses
  • Provide on-site event support and troubleshoot logistical issues as they arise
  • Collaborate with marketing, creative, and cross-functional teams to support event objectives
  • Support post-event reporting, recaps, and documentation

Required Qualifications

  • 2 to 4+ years of experience in event coordination, event marketing, hospitality, or related field
  • Experience supporting live events, conferences, activations, or productions
  • Strong organizational skills with the ability to manage multiple projects and deadlines
  • Excellent communication and coordination skills
  • Detail-oriented with a proactive, problem-solving mindset
  • Comfortable working in fast-paced environments and adapting to changing priorities
  • Willingness to travel and work flexible hours as needed for events

Preferred Qualifications

  • Experience supporting large-scale, corporate, or high-visibility events
  • Familiarity with event logistics, vendor management, or production workflows
  • Experience in aerospace, technology, or related industries is a plus
