Overview

The US Oncology Network is looking for an Internal Events and Communications Senior Specialist to join our team at Texas Oncology.

This is a remote position and requires the candidate reside in Texas.

This position is responsible for leading the planning and execution of internal event experiences and supporting internal communications. The position will create, develop, and implement communications and event programs that align with company vision and direction. Supports and adheres to the US Oncology Compliance Program, including the Code of Ethics and Business Standards.

A key expectation of this senior specialist role is the ability to deliver sophisticated event experiences—high-quality, polished, and thoughtfully designed programs with consistency that elevate engagement and reinforce culture across Texas Oncology.


Responsibilities

The essential duties and responsibilities include but are not limited to:

Internal Events (Sophisticated Experience Delivery)

  • Deliver sophisticated event experiences by designing a cohesive event journey (pre-event communications, agenda creation, speaker coordination, on-site/virtual experience flow, and post-event follow-up) and ensuring polished execution across all touchpoints.
  • Lead the planning and execution of multiple internal events annually (in-person, virtual, and hybrid), ensuring a consistent, high-quality attendee experience.
  • Develop and maintain detailed event project plans, timelines, run-of-show documents, and production schedules; track deliverables, owners, risks, and dependencies.
  • Serve as the dedicated owner for event runbooks, timelines, vendor coordination, and experience polish—improving reliability, quality, and stakeholder confidence.
  • Run event planning meetings and workstream check-ins; distribute action items and status updates; drive on-time delivery across stakeholders.
  • Coordinate vendors, partners, keynote speakers, internal/executive speakers (venue, AV, production, print, event technology, shipping/fulfillment), and provide on-site support as needed.
  • Working closely with our internal brand and creative team, develop and produce event assets and materials including presentations and visual content, signage/printed materials, digital graphics, and event communications; coordinate swag/ordering and logistics.
  • Create content and messaging aligning company strategies, priorities, and  initiatives that resonate with audiences and are aligned with company values.
  • Track budgets, approvals, timelines, and deliverables; escalate risks early and propose options to keep delivery on track.
  • Ensure brand consistency across event materials and internal communications; maintain templates and evergreen resources for efficiency and consistency.

Internal Communications (Execution)

  • Support internal communication programming, such as leadership and project email campaigns, intranet content, video stories and photographs as applicable, and company wide and town hall meetings.
  • Partner with business stakeholders to develop and execute communication strategies and plans for communicating key event initiatives and project updates to employees, accounting for different employee audiences.
  • Research, interview, write, edit, and coordinate internal communications and storytelling content related to events or projects.
  • Identify and track key metrics to measure performance of channels and employee engagement with communications.
  • Populate and maintain intranet stories and content as appropriate; support the updating of audience distribution lists.
  • In collaboration with the Internal Communications team, help manage the cadence of internal communications channels.
  • Understand and align messaging with the company’s mission and pillars, championing the company’s purpose through storytelling using live presentations, written and audio/video formats.
  • Create and maintain a library of presentations and video archives of event materials.

Qualifications

Minimum Qualifications

  • Bachelor’s degree in communications, public relations, journalism, marketing, English, event management, hospitality, business, or related field.
    Or Associate’s Degree + Four (4) years of related work experience
    Or Eight (8) years of related work experience
  • 5+ years of related experience in internal and/or corporate communications, event management, or a blend of both.
  • Excellent oral, written, and interpersonal communication skills.
  • Demonstrated ability to develop communication plans, coordinate interviews/stakeholders, develop key messages, and track KPIs.
  • Strong project/program management skills with the ability to manage multiple concurrent projects in a deadline-driven environment.
  • Proficient using PowerPoint and Microsoft O365 suite.
  • Ability to handle sensitive information with the utmost discretion.
  • Ability to collaborate cross functionally and build relationships at all levels of the organization and across business functions, establish credibility, and act as a trusted partner.

Preferred Qualifications

  • Experience delivering complex, high-visibility internal events and/or large-scale meetings (multi-session, multi-stakeholder, tight production timelines).
  • Experience with event technology platforms (e.g., registration tools / mobile event apps). 
  • Strong design sensibility and experience producing executive-ready presentations and communications assets.
  • Experience with video content planning/production for internal communications or event programming.
  • Healthcare experience preferred.
