Overview
Job Purpose
Intercontinental Exchange (ICE) is seeking an experienced and strategic Event Manager to join our marketing team. This role leads the end-to-end planning and execution of a diverse portfolio of events across the U.S., including large-scale conferences, virtual events, and exclusive executive forums that engage senior corporate leaders globally. The Event Manager will own event strategy and delivery, drive operational excellence, and serve as a primary point of contact for internal stakeholders and external partners.
The ideal candidate brings a strong track record in corporate event management, excels at leading complex, high-visibility programs, and is passionate about delivering exceptional experiences that advance business objectives.
This position is office-based (5 days/week) with travel required, including some evenings and weekends.
Responsibilities
  • Event strategy and execution
    • Lead end-to-end planning and execution of in-person conferences, executive forums, and proprietary ICE events, including venue selection, vendor negotiations, catering, A/V, and on-site production
    • Develop and manage detailed event timelines, run-of-show documents, and production schedules, ensuring seamless delivery across all workstreams
    • Serve as the on-site lead for events, managing vendors, and real-time problem resolution
    • Own the planning and technical execution of virtual and hybrid events, including platform strategy, speaker management, and attendee experience
  • Vendor and budget management
    • Build and manage relationships with external vendors, venues, and production partners
    • Own event budgets end-to-end, including forecasting, expense tracking, reconciliation, and purchase order processing
    • Maintain accurate vendor records, contracts, and post-event documentation
    • Oversee promotional item strategy, including branded merchandise sourcing, inventory management, fulfillment coordination, and post-event reconciliation
  • Stakeholder and speaker management
    • Partner with senior internal stakeholders to align event goals, messaging, and programming with broader marketing and business objectives
    • Manage event registration platforms and attendee communications, ensuring a high-quality experience from invitation through post-event follow-up
    • Lead speaker and VIP logistics, including travel, accommodations, briefing materials, and on-site coordination
    • Act as a primary point of escalation for attendee and stakeholder inquiries before and during events
  • Reporting and continuous improvement
    • Deliver comprehensive post-event analysis, including attendance data, stakeholder feedback, and actionable recommendations
    • Maintain and evolve internal event calendars, project trackers, and shared documentation
    • Help drive continuous improvement by identifying process gaps and leading the development of scalable best practices and playbooks across the events function

Knowledge and Experience
  • Bachelor's degree in Marketing, Business, Hospitality, or a related field
  • 5+ years of experience in corporate event management, with demonstrated ownership of large-scale or high-visibility programs
  • Proven ability to manage complex, multi-workstream projects from strategy through execution
  • Strong budget and vendor management skills
  • Excellent verbal and written communication skills, with the ability to engage and collaborate effectively with stakeholders at all levels of the organization
  • Ability to thrive in a fast-paced, collaborative, cross-functional environment
  • Proficiency with Microsoft Office Suite (Excel, PowerPoint, Outlook, Word)
  • Willingness to travel and work occasional evenings and weekends as events require

Preferred Knowledge and Experience
  • Experience with event management and registration platforms (e.g., Cvent, Eloqua, ON24)
  • Background in B2B or financial services marketing environments
  • Proficiency with project management tools (e.g., Monday.com, Smartsheet)
  • Experience leading executive-level or client-facing events programs
  • Familiarity with hybrid event production and virtual event technology
