Job description

Administrative Support Intern

The intern provides general administrative support and miscellaneous support services to the South Florida Division of Administration, and the EVER, Administrative Division, Property Management & Warehouse Operations.

Duties

  • Records management: The intern will support the Administrative Division of the South Florida National Parks and Preserve in developing a long-term records filing and disposition plan for electronic and physical records in accordance with Federal archives policies and regulations. The intern will aid the division in cataloging existing records, properly disposing, and filing records for ease of use. The intern will also aid in the upkeep of shared Microsoft Outlook inboxes that maintain human resources, travel, charge card, and workman's compensation claims.
  • Database Development and Maintenance: The intern will utilize Excel to monitor, track, and maintain action logs related to human resources recruitment and position classification, travel, and property. The intern will also work to develop a new database for personnel actions using Microsoft Access. The intern will also work to update the SOFL Telephone Directory and other administrative logs.
  • Reference Material Development and SharePoint Design: The intern will be expected to develop digital standard operating procedure documents for administrative support staff and will help re-design the division's administrative support community Microsoft SharePoint.
  • Property & Supply: The intern will be assigned to work in a warehouse once or twice a week assisting the SOFL Property & Supply office, including assisting in receiving and delivering shipments to offices within Everglades National Park, Krome Centre, and Biscayne National Park. Applicants are expected to drive and operate a government vehicle. The intern will also assist with various projects related to the disposition and inventorying of government property under the direction of the Supply Systems Analyst supervisor.
  • DOI Access/PIV Card Enrollment and Activation: The intern will provide frontline services to NPS Staff, interns, and volunteers in the enrollment and activation for the DOI Access/PIV Card. The intern will operate a computer terminal to collect fingerprints, verify applicant documents, and enroll new users to access federal computer systems and process background checks.
  • The intern may have other duties as assigned to assist other division offices such as IT, Budget & Finance, Commercial Services, and the Superintendent's Office.

What will the intern gain from this experience:

  • Become familiar with and receive training on federal administrative, human resources, budget, property, and supply processes.
  • Have opportunities to go on field excursions in Everglades and Biscayne National Parks.
  • Learn about the National Park Service (NPS) mission and diverse career fields in the United States federal government.
  • Upon the successful completion of 640 hours, the intern will be eligible to receive a 2-year Public Land Corps hiring authority which will help the intern obtain a temporary or permanent job with the NPS.

Qualifications

  • Currently enrolled in or completed a college degree in Public or Business Administration, Human Resources, Social Sciences, Information and Library Science, or any related field.
  • Knowledge of and previous experience using Microsoft Excel, Access, Outlook, Teams and SharePoint websites.
  • Effective communication and writing skills.
  • Ability to remain calm and courteous during hectic and emergency situations.
  • Previous experience working in a professional office setting drafting correspondence and/or working in a frontline customer service setting is a plus.
  • Interest in natural and cultural resources, America's Everglades, and pursuing an administrative career with the National Park Service!

Work Environment: Most work is conducted inside an office or in the warehouse, occasionally in other park buildings. Work may require physical exertion, lifting heavy objects. Additionally, the intern will, on a recurring basis, walk, bend, crouch, stretch, reach or perform similar physical activities. Sedentary work is required while performing clerical tasks. When working in the park, conditions may include exposure to venomous animals, poisonous plants, biting and stinging insects as well as heat and humidity.

Vehicle/License Requirement The successful candidate must have a valid state driver's license. Must have transportation to and from the job site. Must be able to drive a government vehicle.

Compensation and Benefits

  • Pay Rate: The selected applicant will be compensated at a rate of $15 per hour. A transportation stipend of $40 a week will also be provided to the successful candidate. Days off may be subject to change. School schedules will be accommodated as best as possible.
  • Office Location: Intern will be expected to report to the NPS Offices at the Krome Centre - 950 N Krome Ave, Homestead, FL 33030 and to Everglades National Park - 40001 State Road 9336, Homestead, FL 33034
  • Work Schedule: Interns may choose to work full-time 40 hours per week, or a part-time schedule can be arranged if they are currently enrolled in school. Office hours are from 8AM to 4:30 PM Monday-Friday.
  • Tentative Internship dates: Full time internship starting May 6, 2024 and ending on September 20, 2024, part time internships may be extended subject to available funded hours.
  • Interns must have a current state driver's license and have reliable transportation to and from the worksite.
  • Candidates must pass a Federal Background Investigation.

*This is a 1099 position. Persons paid on a 1099 basis are independent contractors and are self-employed. Independent contractors are required to pay all self-employment taxes (Social Security & Medicare) as well as income tax.
