Job description

The Intermodal Customer Service Representative (CSR) is responsible for maintaining strong customer communication, entering and coordinating shipment orders, supporting dispatch operations, and ensuring shipments are completed accurately and efficiently. This role plays a key part in customer satisfaction, operational performance, and billing accuracy.

The ideal candidate has at least five years of experience in intermodal transportation or logistics and is comfortable working in a fast-paced environment with customers, dispatchers, drivers, terminals, depots, and internal operations teams.

PRIMARY RESPONSIBILITIES

Customer Service & Communication

  • Serve as the primary point of contact for assigned intermodal customers.
  • Respond promptly to customer inquiries, shipment requests, status updates, and service issues.
  • Provide accurate updates regarding pickups, deliveries, empty returns, delays, demurrage, detention, and accessorial charges.
  • Communicate service disruptions, terminal issues, or equipment problems proactively.
  • Build strong customer relationships through reliable follow-up and issue resolution.

Order Entry & Shipment Coordination

  • Enter and manage customer orders accurately within the transportation management system.
  • Verify shipment details including container numbers, bookings, delivery locations, weights, hazmat requirements, appointments, cutoffs, and empty return instructions.
  • Coordinate import and export shipments involving ports, depots, warehouses, rail ramps, customer facilities, and company yards.
  • Monitor shipment progress from pickup through delivery and empty return completion.
  • Ensure dispatch receives complete and accurate shipment information.

Intermodal Operations Support

  • Work closely with dispatch to ensure service commitments are met.
  • Monitor terminal availability, ERDs, cutoffs, last free days, holds, and return requirements.
  • Assist with chassis coordination, equipment availability, pre-pulls, storage, and special handling requests.
  • Identify and escalate potential service issues before they impact operations or customers.

Documentation & Billing Support

  • Review delivery orders, releases, hazmat documentation, customs status, and customer instructions for accuracy.
  • Ensure special handling requirements such as hazmat, overweight, temperature-sensitive, or bonded shipments are clearly communicated.
  • Document detention, storage, chassis usage, layovers, stop-offs, and other accessorial charges accurately.
  • Maintain complete and organized records to support billing and operational visibility.

Problem Solving & Issue Resolution

  • Investigate service failures, missed appointments, terminal delays, and documentation issues.
  • Coordinate solutions between customers, dispatch, terminals, depots, railroads, steamship lines, and internal teams.
  • Provide timely updates and follow issues through resolution.
  • Recommend process improvements to reduce recurring service problems.

Required Qualifications

  • Minimum 5 years of experience in intermodal trucking, drayage, rail, port, steamship line, or logistics operations.
  • Strong understanding of import/export intermodal processes and terminal operations.
  • Knowledge of container availability, last free days, demurrage, detention, ERDs, cutoffs, and empty returns.
  • Experience using transportation management systems, customer portals, terminal websites, and Microsoft Office.
  • Ability to manage multiple shipments, customers, and priorities simultaneously.
  • Strong communication, organization, and problem-solving skills.
  • High attention to detail and accuracy in documentation and order entry.
  • Ability to work under pressure with a strong sense of urgency and ownership.

Preferred Qualifications

  • Experience with ISO tanks, hazmat, chemical logistics, or bulk liquid transportation.
  • Familiarity with TMW, Trimble, Lucrasoft, SAP, or similar logistics systems.
  • Knowledge of Port of Houston operations, Gulf Coast rail ramps, depots, and chemical plant delivery procedures.
  • Understanding of accessorial billing and supporting documentation.
  • Experience coordinating overweight, hazmat, customs-bonded, or FTZ shipments.

Salary will be commensurate with experience and qualifications.
