Job Description:

Adolfson and Peterson Construction is currently hiring for an Office Manager for our primary Midwest Regional office based out of Bloomington (moving to Edina later this year). This role will ensure that the regional front office is fully functional. Coordinate activities at the reception area, including telephone systems, managing client and subcontractor greetings and meetings, mail and package receipt and distribution, ordering supplies, and handling special events.

Responsibilities:

  • Take personal responsibility for working safely within an Incident and Injury Free (IIF) culture.
  • Manage the front desk.
    • Field all incoming phone calls.
    • Greet and direct clients, owners, architects, subcontractors, and team members who enter the building.
    • Check in/out all office team members.
    • Update jobsite and telephone listings.
    • Ensure that the front office area presents a professional company image.
    • Process and administer all outgoing mail and deliveries, including UPS, FedEx, and courier services.
    • Distribute incoming mail and deliveries to office team members.
    • Distribute faxes for incoming and outgoing information.
  • Coordinate new hire intake and processing; ensure that documentation and paperwork is compliant.
  • Resolve escalated phone calls and walk-ins as needed.
  • Establish and/or update policies and contracts with office supply vendors, couriers, and mail/package vendors to achieve best pricing, efficiencies, and value.
  • Keep apprised of current and upcoming projects in order to manage internal and external communications effectively.
  • Provide administrative support for the office as time permits - design, create, assemble, and distribute regional communication materials; file, copy, and fax documents.
  • Collaborate with regional team members in management of AP sponsored meetings or events.
  • Manage office services and supplies; ensure that rooms are organized, stocked, and professional.
  • Manage schedules for regional office facilities.
  • Other duties as assigned.

Requirements:

  • History of experience and proven results including:
    • High school diploma or equivalent and 4+ years of office manager experience; bachelor's degree preferred.
    • Experience working in the A/E/C industry preferred.
    • Advanced skills with Microsoft Office including Word, Excel, and PowerPoint.
  • Demonstrated integrity and ethical standards.
  • Developed skills (written, oral, and listening) in order to effectively communicate with diverse audiences.
  • Ability to efficiently manage multiple projects and priorities simultaneously under time constraints.
  • Excellent interpersonal skills with the ability to build successful and lasting relationships.
  • Demonstrated high attention to detail.

Estimated Pay:

$58,000.00 - $87,000.00
