Position Overview

We are seeking a highly organized and career-focused Insurance Office Manager to serve as a key operational partner within a growing insurance organization.

This role is responsible for managing daily office operations, maintaining accurate insurance documentation, supporting client service activities, and ensuring efficient administrative workflows.

The ideal candidate will have Property & Casualty (P&C) insurance experience, strong organizational skills, and experience with HawkSoft CRM. This is a long-term career opportunity designed for someone who wants to grow within the insurance industry and build a career over the next 20+ years.

Key Responsibilities
  • Manage daily office operations and administrative workflows

  • Maintain organized insurance records, files, and documentation

  • Prepare and process insurance documents including:

    • Certificates of Insurance (COIs)

    • Client documentation

    • Policy-related paperwork

    • Data entry and record updates

  • Perform accurate data input and maintain CRM records

  • Support client service activities and respond to inquiries

  • Assist with policy changes and insurance documentation requests

  • Communicate with clients, carriers, and internal teams

  • Maintain organized schedules, correspondence, and office processes

  • Support billing-related documentation and administrative activities

  • Improve office procedures and maintain efficient workflows

  • Ensure compliance with company processes and documentation standards

  • Provide reliable day-to-day operational support to leadership

Required Qualifications
  • Property & Casualty (P&C) insurance experience required

  • HawkSoft CRM experience strongly preferred

  • Strong organizational skills with excellent attention to detail

  • Experience managing insurance documents, records, and administrative processes

  • Ability to handle a high-volume desk-based role involving:

    • Documentation

    • Data entry

    • Client communication

    • Computer-based workflows

  • Strong written and verbal communication skills
