Description
POSITION:
We are looking for an enthusiastic coordinator to serve as the administrative backbone of our IT operations. In this role, you'll bridge the gap between technical tasks and community needs by ensuring the day-to-day efficiency of the IT team. This is a mostly administrative role focused on departmental administration along with IT triage; it is ideal for a tech-forward professional who thrives on organization rather than high-level systems engineering. A collaborative problem-solver with a 'customer-first' mindset is critical to this position.
ESSENTIAL FUNCTIONS:
• Timely processing of departmental invoices through accounts payable procedures, using an eye for detail to ensure proper GL coding for business expenses.
• Communicate with Director of IT to align budget spend aligns to budget allowances.
• Proactively order and maintain departmental supplies including technology hardware.
• Disposition of departmental correspondence and packages including tracking and organization of IT inventory.
• Ensuring that IT equipment stock is maintained to minimum required levels to facilitate ongoing operations.
• Organize and coordinate e-waste collections on a regular cadence.
• Establish and maintain relationships with vendors, ensure timely deliveries and resolution of issues with supplies, invoicing, or services.
• Research, Schedule and track RMA and Warranty repairs for IT equipment.
• Provide IT support to team members and residents
• Conduct annual healthcare audits of nurse call devices.
• Serve as backup for resident technology support as needed, assisting with the reliable triage, troubleshooting, and timely resolution of Tier I technology issues.
• Work as a team player to assist the rest of IT as needed
• Refer major problems and priority conflicts to IT Director
GENERAL RESPONSIBILITIES:
• Assume accountability for department and facility policies and procedures and assume accountability for information contained in the current employee handbook.
• Adhere to established facility and departmental safety policies and procedures.
• Participate in facility fire drill procedures.
• Perform all responsibilities with adherence to Resident's Rights and HIPAA.
• Maintain professional appearance and conduct exhibiting a respectful and courteous demeanor at all times.
• Adhere to the Bishop Gadsden dress code policy and guidelines.
• Participate in educational and departmental opportunities.
• Attend mandatory continuing education sessions.
• Attend department meetings and/or educational opportunities as required.
• Attend facility functions and demonstrate interest in Bishop Gadsden activities.
• Show evidence of working as a team member.
• Adhere to attendance and scheduling requirements.
• Accept additional duties as necessary in a cooperative manner.
• Observe fiscal responsibility in use of Bishop Gadsden resources and purchases made on behalf of Bishop Gadsden.
Requirements
REQUIRED EDUCATION AND EXPERIENCE:
• High school diploma or equivalent.
• 2 years proven experience in office coordination, personal assistance, or administrative support.
• 2+ years' experience in organizational administration, such as tracking purchases, coding purchases for budgetary tracking, project planning, calendar tracking, and vendor management.
• Experience with senior living, technology support (tier 1), or project planning is a plus.
• Prior experience with customer service required.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
• Ability to read, write, speak and understand English.
• Superb organization and planning skills.
• Familiarity with tier 1 support for Windows, Mac OS, Android, iOS, and peripheral devices
• Intermediate knowledge for use of productivity tools including Office 365, SharePoint, collaborative document sharing, and cloud computing.
• Ability to independently multitask and prioritize effectively in a fast-paced environment.
• Discretion and the ability to handle confidential information with integrity.
• Thinks ahead and plans accordingly, identifying emerging needs and aligning IT initiatives with long-term business objectives.
• Ability to communicate clearly and effectively both verbally and written.
• Ability to read and comprehend numbers and written material.
• Interpersonal skills are necessary for exchanging information as well as maintaining a courteous relationship with the residents, families, visitors and Bishop Gadsden employees.
• Working knowledge of basic technology troubleshooting, issue triage, and resolution for common end-user devices, connectivity issues, and software applications.
• Ability to provide clear, patient, and courteous technology assistance to residents and staff with varying levels of technical comfort.
ENVIRONMENTAL CONDITIONS AND PHYSICAL ABILITIES:
• Ability to sit, stand and walk for extended periods of time.
• Manual dexterity, particularly in hands and arms, must have the ability to use hands to finger, handle and feel and ability to reach with hands and arms.
• Ability to see, read and comprehend numbers and written material both on paper and on computer systems • Ability to interact with residents and their families as well as other staff with tact, courtesy, and confidentiality
• Ability to stoop, bend, kneel, crouch, crawl, climb and balance.
• Ability to lift and/or carry weights of up to 50 pounds.
