Job Title: Logistics Coordinator
Job Description
The Logistics Coordinator oversees the administration, coordination, and execution of domestic and international shipping services. This role focuses on reviewing and preparing import and export documentation, ensuring all customs and shipping papers are accurate and complete, and supporting timely, compliant movement of goods across multiple modes of transport. The Logistics Coordinator also collaborates closely with carriers, internal teams, and international partners to resolve shipping issues, manage high-volume case queues, and provide end-to-end shipment tracking in a fast-paced environment.
Responsibilities
- Prepare, review, and edit import and export documents, including commercial invoices, bills of lading, packing slips, airway bills, and shipping labels, to ensure accurate routing of international shipments.
- Verify the accuracy of documentation by confirming country of origin/export, importer of record (IOR), terms of sale, and declared value to ensure compliance with customs and federal regulations.
- Create and update shipping quotes for domestic and international parcel and freight shipments across various modes, including parcel, air, and ocean.
- Coordinate freight shipment pickups with carriers and track shipments from origin through delivery, providing end-to-end tracking and proactive status updates.
- Assist with filing Electronic Export Information (EEI) online with U.S. Customs and Border Protection for eligible export shipments.
- Monitor and follow up on documentation discrepancy issues daily, troubleshooting problems and communicating clearly with customers and international partners to resolve delays or customs issues.
- Escalate customer complaints and requests with carriers and follow up to ensure resolution, keeping customers informed throughout the process.
- Work collaboratively with cross-functional departments, including shipping and receiving, to resolve issues related to package deliveries or shipments in a high-volume environment.
- Prepare reports, presentations, and analyses using various software packages and databases to support logistics operations and decision-making.
- Perform accurate data entry related to orders, shipments, freight, and transportation details, including order entry and purchase orders.
- Apply HTS (Harmonized Tariff Schedule) classification to a variety of commodities, including materials such as aluminum and steel, and work with international partners to ensure proper classification.
- Utilize Incoterms to correctly define terms of sale and responsibilities between buyers and sellers for international shipments.
- Manage and prioritize a high volume of cases and queue items, ensuring timely handling of shipping exceptions, customs delays, and carrier issues.
- Ensure all work complies with established quality and safety systems, policies, and procedures.
- Partner with third-party logistics providers, freight forwarders, and carriers such as FedEx and UPS to support efficient and compliant shipping operations.
Essential Skills
- 2+ years of relevant work experience in logistics, supply chain, shipping and receiving, import/export, or freight brokerage (including experience with major carriers such as UPS or FedEx).
- Hands-on experience with domestic and international shipping processes, including parcel, air, and ocean modes of transport.
- Proficiency in preparing and reviewing import and export documentation, including commercial invoices, bills of lading, packing slips, airway bills, and shipping labels.
- Practical customs entry experience with a variety of commodities and the ability to manage customs delays and documentation requirements.
- Working knowledge of HTS (Harmonized Tariff Schedule) classification and its application to imported materials such as aluminum and steel.
Additional Skills & Qualifications
- Experience working in a manufacturing environment, particularly with a custom manufacturer, is highly beneficial.
- Experience in freight forwarding, transportation, and third-party logistics operations.
- Knowledge of inventory control practices and coordination with shipping and receiving teams.
- Experience using FedEx Shipping Manager and UPS WorldShip software is preferred.
- Demonstrated ability to prepare reports and presentations using various software packages and databases.
- Comfort working with a wide variety of commodities and international partners.
- Strong organizational skills and the ability to manage multiple priorities and deadlines.
- Customer-focused mindset with a commitment to providing timely and clear updates on shipment status and issue resolution.

Work Environment
This role operates in a hybrid work environment, with typical schedules such as 8:00 a.m.–5:00 p.m., 9:00 a.m.–5:30 p.m., or 9:30 a.m.–6:00 p.m., with flexibility of approximately 30 minutes. The position generally requires being on-site 3–4 days per week. Local candidates are preferred, as the role requires being on-site for the first two weeks for training, after which remote work is acceptable subject to business needs and approvals. The Logistics Coordinator works closely with a director-led logistics team that includes other coordinators and collaborates with a shipping and receiving team of approximately 20 people. The environment is fast-paced and high-volume, with frequent interaction with carriers, freight forwarders, and third-party logistics providers. Daily work involves extensive use of Microsoft Office (including Excel), FedEx systems, and UPS-related tools, as well as other logistics and shipping software. The company is growing and offers a contract-to-hire path with opportunities to advance as the logistics team expands.
Job Type & LocationThis is a Contract position based out of Gaithersburg, MD.
Pay and BenefitsThe pay range for this position is $24.04 - $28.85/hr.
