Description
Title: Human Resources Coordinator
Reports to: Director of Human Resources
Department: Human Resources (203)
Location: 5350 Machado Road, Culver City, CA 90230
FLSA Status: Non-Exempt
Compensation: $21.00 - $26.00 /hr
Program Hours: Monday - Friday, 8:30 AM to 5:00 PM
Supervisory Responsibility: None
Position Summary
Perform a variety of time-sensitive, skilled administrative and clerical duties directly related to human resources Records Management, Benefits and Talent Acquisition. Ensure that workplace needs are being met. Support the department in fostering positive employee engagement.
Essential Duties and Responsibilities
  • Coordinate and schedule various employee trainings (i.e., First Aid, CPR, etc.) Notify staff and their supervisors when attendance is required. Utilize tracking system to document assigned and completed trainings. Navigate Learning Management System (LMS) to assign required annual trainings and other trainings as assigned.

  • In collaboration with HR Generalists, process Personnel Action Requests (PARs) as needed. Complete the e-forms and route for signatures. Ensure all paperwork related to the personnel action is submitted to the appropriate department(s) in a timely manner. Conduct follow up as needed.

  • Assist in maintaining accurate HR data, compile and prepare HR reports, invoices, etc. for submission to various funders, government entities, program leaders, vendors, including VETS report, Affirmative Action, etc.

  • Assist in planning and conducting New Employee Orientation to foster positive attitude toward company goals. Create badges for new employees and replace badges as needed.

  • Assist in the creation and presentation of HR trainings as appropriate and directed by the Director of Human Resources.

  • Respond to internal and external HR related inquiries or requests and resolve issues in a timely and professional manner.

  • In collaboration with Job Coach and Consumer's Supervisor, provide direction to consumer trainee(s). Prepare work in advance and explain tasks in a manner that is clear to the consumer.

  • Track staff medical (TB Test, Physical, etc.), license, and other compliance items on Expiration Reminder system and correspond with staff and supervisors as necessary to update records. Audit system as necessary.

  • Assist with various projects including Open Enrollment, annual trainings, mailings, and special projects. Additional audits as required, related to data entry, employee files, tracking systems, etc. and other processes to support the HR team.

  • Provide routine paperwork including but not limited to unemployment claims, employment verification inquiries and other correspondence following ECF guidelines to Insperity PEO for processing.

Other Duties
  • Comply with ECF's Injury and Illness Prevention Program. Ensure safe use and operation of tools and/or equipment.
  • Comply with ECF policies and procedures, including mandated reporting requirements.
  • Regular and reliable attendance.
  • Perform other duties as assigned.

Qualifications
Education/Licenses/Certifications: High School diploma required; Bachelor's degree preferred.
Experience: Three years as an HR Assistant or Admin Assistant preferred. Strong coordination experience in gathering staffing and program data for reports and other data collection. Very strong computer skills required (knowledge of Microsoft Office Suite).
Knowledge/Abilities/Skills:
  • Full understanding of human resources principles, practices, and procedures.
  • Exposure to Labor Law and employment equity regulations.
  • Ability to work independently with minimal supervision.
  • Ability to maintain confidentiality and handle sensitive matters and interactions with others in a positive, professional manner using tact, diplomacy, and discretion.
  • Highly organized with the ability to work on multiple projects/tasks simultaneously.
  • Take initiative and follow up/follow through in a timely manner to meet deadlines.
  • Proficient in Microsoft Office programs and HRIS systems.
  • Excellent communication skills, including grammar and punctuation.
  • Strong decision-making and problem-solving skills.
  • Meticulous attention to detail.

Requirements
  • Driving is an essential function of this position. Proof of valid California driver's license, reliable transportation, evidence of state-mandated car insurance, and insurable driving record are required. While driving for work, should a need arise, the employee's insurance is deemed primary and ECF's coverage is secondary.
  • Driving Disclaimer- Employees driving for company business must maintain a clean record and operate vehicles safely and responsibly. Company vehicles will be monitored and activity recorded. Violations of the driving policy may result in disciplinary action, including suspension of driving privileges, reassignment, or termination.
  • Provide evidence of a negative TB test initially and every three years thereafter.

Work Environment
Work site is located in a building shared with a school for students (grades K-12th) who have varying degrees of learning, behavioral, emotional, and developmental disabilities. Employee may encounter students who are in crisis, exhibiting emotional/psychological distress, or behaving in an aggressive manner. Environment may include frequent interruptions, loud noise, odors, varying indoor temperature, and drafts. May encounter inclement weather when traveling for ECF business.
