Position Overview

The HR Coordinator provides administrative and operational support across key Human Resources functions, including onboarding, employee data management, payroll support, compliance, and employee services. This position coordinates new hire activities, maintains employee records, processes HR transactions, supports compliance requirements, and assists employees and managers with HR-related requests. The HR Coordinator ensures HR processes are completed accurately, efficiently, and consistently while providing a positive employee experience and supporting the overall goals of the HR team.

Duties/Responsibilities

Onboarding

  • Coordinate employee onboarding and ensure completion of all required documentation.
  • Guide new hires through the onboarding process and communicate first-day instructions.
  • Coordinate with Safety to ensure required training assignments are completed.
  • Notify managers when onboarding requirements are complete and employees are cleared to begin work.

Employment Compliance

  • Process and maintain E-Verify records.
  • Complete Office of the Attorney General (OAG) employment requests.
  • Track Employment Authorization Document (EAD) expirations and notify employees and management.
  • Maintain compliance with federal, state, and company employment requirements.

Employee Data & Payroll Support

  • Process employee wage changes, Personnel Action Notices (PANs), and other employment status changes.
  • Manage PTO transactions, including submissions, cancellations, and one-time adjustments.
  • Ensure relocation bonuses and living stipends are accurately processed in Payroll and HRIS.
  • Monitor the HR inbox and complete employee requests in a timely manner.
  • Maintain accurate employee data and HRIS records.

Employee Recognition

  • Process Core Value recognition requests.
  • Prepare and distribute employee recognition cards and materials.

Employee Support Services

  • Process business card and company Visa card requests.
  • Respond to employee HR inquiries and provide general HR support.
  • Assist employees with HR policies, procedures, and programs.

Leadership Assimilation & Employee Integration

  • Coordinate leadership assimilation schedules for designated positions.
  • Schedule presenters and distribute assimilation plans.
  • Coordinate stakeholder participation and onboarding activities.
  • Track completion of assimilation activities and follow up on outstanding items.

Education and Training

  • Bachelor's degree in Human Resources, Business Administration, or related field preferred; equivalent HR experience may be considered.
  • Bilingual (English/Spanish) preferred or required based on business needs.
  • 1-3 years of experience in Human Resources, HR Administration, or related support role.
  • Knowledge of basic HR practices, employment regulations, and HR processes.
  • Experience supporting onboarding, employee records, payroll processes, or HR operations preferred.
  • Proficiency with Microsoft Office Suite and HRIS systems (UKG Preferred).
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Strong attention to detail and accuracy when handling employee information.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Strong written and verbal communication skills.
  • Ability to provide excellent customer service and support employees at all levels of the organization.
