This role requires 1+ years of proven, hands-on administrative/office support experience in a professional setting. If you only have customer service or retail experience, this is not the right fit. We are looking for experienced admin professionals who thrive on organization and communication.

About Holistic Practice Management (HPM)

HPM provides dedicated virtual receptionist and administrative support to holistic health practices nationwide. We are not a call center; we are a boutique patient care team. Our receptionists become extensions of the practices they support, delivering warm, professional, and consistent care.

The Role

We are looking for a detail-oriented, professional Virtual Receptionist and Administrative Assistant. This is a remote, work-from-home position supporting multiple holistic health practices with scheduling, patient communication, inbox management, and administrative coordination.

What You’ll Do

  • Answer inbound patient calls professionally, representing each practice accurately.
  • Schedule, reschedule, and cancel appointments.
  • Manage patient intake, messages, and follow-up communications.
  • Handle email management, form processing, and data entry.
  • Learn and consistently apply each practice’s unique procedures.
  • Maintain detailed notes and coordinate with clinical staff.

Requirements

  • Minimum 1 year of administrative or office support experience.
  • Exceptional phone presence, warm, clear, and confident.
  • Proficiency with scheduling software, CRMs, or EHR systems.
  • Reliable high-speed internet and a quiet, dedicated workspace.
  • Ability to manage multiple practices, context-switch, and master new software quickly.

Preferred

  • Experience in healthcare, wellness, or holistic health.
  • Familiarity with tools like Jane App, Charm, SimplePractice, or similar tools.
  • Experience supporting multiple clients simultaneously.
