Graduation Coordinator information

What are the key skills and qualifications needed to thrive as a Graduation Coordinator, and why are they important?

To thrive as a Graduation Coordinator, you need strong organizational skills, attention to detail, and experience in academic administration, often supported by a bachelor’s degree. Familiarity with student information systems (such as Banner or PeopleSoft), scheduling software, and event management tools is typically required. Excellent communication, problem-solving abilities, and a customer-service mindset are vital soft skills for coordinating with students, faculty, and vendors. These skills ensure smooth graduation processes, timely completion of requirements, and memorable ceremonies for students and stakeholders.

What are some common challenges Graduation Coordinators face during peak graduation periods, and how can these be managed effectively?

Graduation Coordinators often encounter increased workloads and tight deadlines during peak graduation seasons, as they must ensure all students meet requirements and that event logistics run smoothly. Managing last-minute changes, communicating with diverse stakeholders, and handling high volumes of documentation can be challenging. Effective time management, proactive organization, and clear communication with faculty, students, and vendors are essential to navigate these busy periods successfully. Collaborating closely with team members and utilizing management software can also help streamline processes and reduce stress.

Job description

The Southern Oregon ESD Focal Student Groups program seeks a Migrant Education Graduation Specialist to join the team. This person will often work in schools in Klamath County. When not in schools, this person will have a workspace at the SOESD office in Klamath Falls.

The Migrant Graduation Specialist will serve as an advisor, liaison, and facilitator for migrant students, helping them graduate from high school and pursue post-secondary opportunities. The Specialist will work with migrant students, providing both small-group and one-on-one support. All Specialist services will focus on the unique and supplemental needs of migrant students and will not supplant those activities conducted by other building staff such as counselors, home visitors, and teachers. Support efforts may include strategies for setting and achieving personal goals, connecting students to resources that help them pass their classes, information on scholarships, and guidance on how to successfully manage their secondary years.
The Migrant Graduation Specialist performs a variety of important roles, including organizing regional information sessions for students and/or parents, coordinating services with outside organizations such as KCC and OIT, working with spreadsheets to track data and services provided, and collaborating with the rest of the Migrant Education Team. The Migrant Graduation Specialist must be friendly, organized, collaborative, self-motivated, and knowledgeable about school systems and graduation requirements.
If you have a passion for supporting programs to provide quality services for students and families, can effectively build positive relationships while delivering a high level of service, and are self-directed while working as an essential part of a team, we encourage you to apply for this position!"
