About the Job
ย 

Doctoral Program Coordinator Job Description
The Doctoral Program Coordinator includes four major areas of responsibility: supporting student success, managing admissions processes, program development/operation, and contributing to the School of Nursing community through service and professional development. The Doctoral Program Coordinator will oversee program application and admission processes for Graduate Education programs, directly support student progression through the doctoral and post-baccalaureate certificate programs, and collaborate with program leadership to develop and implement enhancements to meet program needs. This position is expected to apply an equity and student success lens to meet collegiate and university goals in the areas of retention and timely student progress and student support. The position is housed in the Office of Student and Career Advancement Services in the School of Nursing (OSCAS) and reports directly to the Associate Director of Graduate Programs. This position will have the ability to work remotely approximately 2-3 days each week.

Responsibilities:

  • 40% Advising & Current Student Support
    • Counsel students to guide them through Program, College, and University Policies and Procedures, including providing direction regarding required curriculum and program milestones.
    • Monitor students degree progress and ensure timely completion of their program plan and graduate milestone procedures.
    • Serve as a liaison to Associate Director and University resources when students encounter individual concerns or barriers to progression.
    • Collaborate with Associate Director and faculty advisors to provide holistic student support.ย 
    • Guide international students through their unique processes and work with International Student & Scholar Services to assure proper paperwork and compliance throughout the program.
    • Create and communicate welcome materials for new students (e.g., new student Canvas site, orientation information, course registration).
    • Collaborate with Ph.D program director and academic program staff to plan Doctor of Philosophy Intensive Experience events.
    • Coordinate the process to review, identify, and prepare nominations for Graduate Education Fellowship opportunities.
    • Manage the review of transfer credit evaluation for students through the Course Equivalency Evaluation process.ย 
    • Guide doctoral students and post-bacc cert students through the appropriate degree clearance steps.

  • 20% Application and Enrollment Management.
    • Oversee the overall program admission process for the Nursing PhD and post-bacc certificate programs.
    • Guide prospective students, applicants, and admitted students through the admission process.
    • Coordinate faculty involvement in the holistic admission review process.ย 
    • In collaboration with the doctoral recruiter, coordinate a communication strategy from the start of application through orientation.ย 
    • Create a welcoming and positive experience for applicants and enrolling students.ย ย

  • 30% Student Data and Program Management
    • Act as program subject matter expert in systems such as Slate, PeopleSoft Campus Solutions, MyU, Reporting Center, GPAS, RedCap, and Coursedog.ย 
    • Maintain accurate Graduate Planning & Audit Systems reports for doctoral and post-baccalaureate certificate students.
    • Serve as a resource for the program to help support students and faculty in understanding how best to use systems and locate information.
    • Develop and maintain student resources (student handbooks, forms, etc).
    • Identify program needs (based on observation, data, and interactions with faculty, students, and other staff) and create optional plans for addressing (e.g., recruitment/retention, funding resources, research opportunities).
    • Maintain accurate records of SON graduate program requirements in Coursedog to facilitate timely degree progress and programming of key systems.
    • Support the management of the student financial assistance package by collaborating with the PhD Program Director,ย  Scholarship Committee and Business Office on communications, tracking, and procedures.
  • 10% Special Initiatives and Professional Development
    • Seek out and fully participate in professional development opportunities.
    • Collaborate on the planning and execution of select student services initiatives and programs, such as new student orientations, Career Week, and other special events.
    • Serve on School of Nursing and University-wide committees as requested.
    • Assist the School of Nursing with various events, including but not limited to fall and spring commencement ceremonies and orientation for other degree programs.
    • Staff advisor for the Organization for PhD in Nursing Students.
    • Other duties as assigned.ย 
Qualifications

Required Qualifications:

  • BA/BS degree plus two years of related experience or the equivalent combination of relevant education and experience totaling six years.

  • Demonstrated ability to work independently, collaboratively with a team, and with supervision.
  • Ability to work some evenings and very occasional weekends.

Preferred Qualifications:

  • Experience working in an academic environment with a particular focus on student services.
  • Experience working with Oracle databases, PeopleSoft student records systems, Slate, Zoom, and application systems.
  • Experience creating and interpreting policies/procedures and communicating these to various constituents.
