Job description

Specific Responsibilities:

  • Serve as a primary coordinator between the sales team, clients, Creative Services, and other internal departments to ensure efficient workflow and outstanding customer service.
  • Prepare work tickets, advertising copy, and basic ad design recommendations as needed for print, digital, preprint, and national advertising orders.
  • Enter advertising orders accurately into the advertising management system.
  • Coordinate the flow of advertising materials and artwork to Creative Services for production.
  • Assist with sales support activities, including prospecting and sales calls as requested by the sales team.
  • Cross-train with team members to maintain service levels and department efficiency.
  • Ensure daily production deadlines are met while coordinating advertising copy and related materials.
  • Review, verify, and approve ad proofs as needed to meet workflow requirements.
  • Process cooperative advertising billing requests as directed by sales representatives, management, or clients.
  • Utilize customer and manufacturer websites to obtain advertising copy, images, and supporting materials.
  • Organize and coordinate publication verification processes.
  • Coordinate pre-production advertising workflows for special projects and promotions.
  • Recommend process improvements and workflow enhancements to increase department efficiency and effectiveness.
  • Maintain a customer-first approach while providing exceptional service to internal and external customers.
  • Meet with clients as requested to support account service and advertising initiatives.
  • Assist with incoming and outgoing account communications on behalf of the sales team.
  • Participate in the Great Game of Business and support company initiatives.
  • Adhere to all company safety standards, including general workplace safety, cybersecurity, and regulatory compliance requirements.
  • Perform all other duties as assigned.

Qualifications:

  • Two years of post-secondary education, technical training, or equivalent work experience preferred.
  • Experience with advertising production, graphic design, newspaper advertising, digital advertising, or related marketing functions preferred.
  • Proficiency with Adobe products, Microsoft Office applications, Google Workspace, internet-based platforms, and advertising management systems.
  • Strong written, verbal, listening, and interpersonal communication skills.
  • Demonstrated English grammar, spelling, proofreading, and detail-orientation skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Strong organizational, critical thinking, problem-solving, and decision-making skills.
  • Ability to work independently while contributing effectively within a team environment.
  • Strong customer service orientation with the ability to build positive relationships internally and externally.
  • Demonstrated adaptability, professionalism, resourcefulness, and sound judgment.
  • Valid driver's license and adhere to company driving eligibility requirements, including proof of auto insurance.
  • Demonstrated alignment with company core values and ESOP culture.

Physical Requirements:

  • Prolonged periods of sitting and working at a computer.
  • Frequent use of a keyboard, mouse, telephone, and other standard office equipment.
  • Ability to view and review digital and printed advertising materials.
